WHO ARE WE
The Texas Department of Agriculture’s Food and Nutrition Division administers 12 federal child and special nutrition programs and more than $2.5 billion in federal money annually. These programs aim to reduce hunger, encourage strong nutrition, and support local economies across Texas.
WHAT YOU’LL DO
The Event Planner will coordinate and oversee the strategic plan for all special events and conferences for the Food and Nutrition Division (F&N) of the Texas Department of Agriculture (TDA). You will serve as the primary contact for planning and implementing public events and activities that support federal nutrition programs. You will provide highly advanced consultative services and technical assistance to agency staff, governmental agencies, community organizations and the general public. You will work under limited supervision with considerable latitude for the use of initiative and independent judgment.
PRIMARY RESPONSIBILITIES
Oversee the development and implementation of contracts. Includes identifying needs, describing services to be rendered, evaluate bids, approve invoices, maintain contract documentation, ensure vendors are accountable for delivering services, and escalate performance concerns.
Communicate appropriate event unit updates to internal and external stakeholders.
Coordinate the development of concepts and designs for displays for special events, educational opportunities, and exhibits.
Research, identify and select sites to exhibit F&N programs. Coordinate exhibit set up and serve as the TDA representative at exhibit booths, as assigned.
Follow all TDA policies and procedures.
Perform other duties as assigned.
QUALIFICATIONS/REQUIREMENTS FOR THE POSITION
Bachelor’s degree (one year of work experience related to the primary duties may substitute for one year of college).
Three (3) years’ work experience in planning, coordinating, overseeing, and managing professional, special events and conferences.
Experience with event planning registration software.
Work experience in contract and vendor oversight.
Valid Texas driver’s license and an acceptable driving record.
PREFERRED QUALIFICATIONS
Work experience creating original exhibit designs and event concepts.
KNOWLEDGE, SKILLS & ABILITIES
Knowledge of the development and operations of events and exhibits; of local, state, and federal laws related to the program area; of public administration and management techniques; of budget processes; of research techniques; and of program management processes and techniques.
Skill in in providing customer service excellence to both internal and external customers; in identifying measures or indicators of program performance; and in the use of a computer and applicable software.
Ability to develop gather, assemble, correlate, and analyze facts; to devise solutions to problems; to prepare reports; to develop, evaluate, and interpret policies and procedures; to communicate effectively, orally and in writing; to provide guidance to others; to exercise sound judgment and discretion; and to maintain the highest level of confidentiality.
PHYSICAL REQUIREMENTS & WORKING CONDITIONS
Normal office work environment and may have exposure to dust and environmental allergens consistent with normal business activities and human contact. Mostly sedentary in nature but may involve walking; standing; pulling and pushing; kneeling, stooping and bending; performing tasks requiring fine motor skills and coordination; and safely lifting and carrying items weighing up to 40 pounds. Must be able to work extended periods at a computer and may require working extended hours and some evenings and weekends, as needed. May involve travel (up to 35%), occasionally overnight.
TELEWORK & WORK HOURS
The agency does not offer telework. TDA employees are required to be physically present for work.
The agency’s core business hours are from 8:00 a.m. to 5:00 p.m., Monday through Friday. TDA also provides limited customer service between 7:00-8:00 a.m. and 5:00-6:00 p.m.
