Performs complex administrative support and technical assistance duties for the Specialized Health & Social Services (SHSS) Regional Program Manager and all program staff. Works as a leading team member to provide technical support and training for SHSS staff as needed, including but not limited to new employee orientation, using the office and computer equipment, assisting with travel claims, and ordering and maintaining office supplies. Works closely to provide high-level administrative support and completes multiple tasks for the SHSS Manager, often in representation of/on behalf of the Manager. Organizes work and manages time effectively to compose and edit complex correspondence, reports, documents, and forms using various software programs. Reports and documents include but are not limited to funding proposals, budget requests, organizational charts, calendars, travel reports, and needs assessments. Performs administrative support duties using office equipment, software, and databases. Answers and routes phone calls, communicates professionally, records accurate messages, handles routine requests for information and refers appropriately, faxes, purchases program materials, purchases and maintains general office equipment and supply inventory, and ensures equipment is in good working condition. Provides support to colleagues entering purchase requisitions. Processes and distributes all mail and deliveries, payroll checks and travel checks, with utmost confidentiality. Coordinates planning and logistics for meetings, conferences, and events. Develops and maintains traditional and electronic records and filing systems. Schedules and prioritizes appointments, meetings, and conference calls. Interfaces between the Office of the Directors, agency programs, and the public. Composing, editing, typing, and proofreading final drafts of correspondence to assist Regional Program Manager, some in preparation for their signature. Processes and distributes all mail and deliveries, payroll checks and travel checks, with utmost confidentiality. Coordinates planning and logistics for meetings, conferences, and events. Assisting with the arrangements and activities related to hosting and conducting CSHCN Contractors meetings. Schedules and prioritizes appointments, meetings, and conference calls. Taking and transcribing minutes. Responds to and interprets inquiries regarding Agency administrative rules, regulations, policies, and procedures. Develops and monitors schedules, calendars closely. Anticipates and makes appropriate travel plans, accommodations, and reservations. (35%)
