PRIMARY DUTIES & RESPONSIBILITIES
Check In & Out
- Greet and check patients in upon arrival
- Present forms to be filled out, provide any assistance needed by patient
- Copy driver’s license and both sides of insurance cards
- Enter demographic information into PM for new patients
- Activate patient portal to meet MIPS requirements
- Verify insurance eligibility and benefits
- Provide a copy of Practice Financial Policy to patient for reading and signature. Assist the patient in understanding the financial policy. Explain rules of patient’s insurance plan when necessary.
- Check demographic information with established patients and enters any changes in PM software
- Make follow up appointments according to charge slip
- Give handouts to patients as needed for more information on procedures if one is to be scheduled
- Collect any fees due via PM. This includes copays and deductibles for patients for whom insurance will be filed, and total cost of the visit for those who will file their own claims and those who have had non covered services rendered.
Emails
- Return patient emails promptly
- Include your professional office signature
- Follow HIPAA policy when emailing patients
Telephones
- Answer phone by third ring “Thank you for calling Texas Dermatology, this is Mary, how may I help you.”
- Triage patient phone calls – please see phone tree diagram
- Return patient calls & emails as directed via shifts
- Enter demographic information into PM - new patients including address, phone, email & referring provider if any
- Verify existing patient information in PM – all demographic & insurance information
Other
- Treat all patients with respect, is polite and professional, and keep patients informed of any delays in being seen
- Always maintain patient privacy
- Maintain orderliness of reception room throughout the day, paying attention to the neatness of magazines and removing items discarded by patients
- Create a system for inventorying and ordering office supplies, fax, copy, and printer supplies and toners, and charts and related supplies
- Assist in the training of new Front Desk employees
- Handle mail and courier reports as directed by the manager and/or physician
- Additional duties as assigned by the practice manager or the physician(s)
PHYSICAL/MENTAL DEMANDS
Work is confined to an office setting. May include flexible hours to work in the office or from home. Stressful situations are inherent to this position. Work may occasionally require traveling to various locations for training purposes or more. Must be able to sit or stand for extended periods answering phones, performing keyboarding, computer work, electronic filing, copying, faxing and other administrative work. Must possess general manual dexterity to operate computer, office machines, perform filing or other office functions; and reach with hands or arms. Must be able to handle stressful situations. Must possess mental acuity for attention to accuracy and detail. Must see in the normal visual range with or without correction. Must hear in the normal range with or without correction.

Pay: $15.00 - $17.00 per hour
