REQUIRED QUALIFICATIONS:
- Minimum of two years of college and/or equivalent work experience.
- Demonstrate excellent command of written and oral English usage, correct punctuation, capitalization, and spelling.
- Possess minimum basic knowledge of bookkeeping and financial accounting systems.
- Have experience in word processing, spreadsheet design, and database management.
- Possess adequate knowledge and experience in email and network systems.

GENERAL RESPONSIBILITIES:
The Administrative Assistant for the Deputy Director of Superintendent Support & Associate Director of Federal Programs/Leadership assumes all responsibility as the administrative assistant for the Deputy Director of Superintendent Support & Associate Director of Federal Programs/Leadership, including but not limited to the following:
- Performing secretarial and office procedure duties.
- Processing of all written correspondence for the Deputy Director of Superintendent Support & Associate Director of Federal Programs/Leadership
- Processing work orders and contracts for assigned consultants.
- Maintaining the Deputy Director of Superintendent Support & Associate Director of Federal Programs/Leadership schedules.
- Anticipating meetings by making room arrangements at the service center (when required) or travel arrangements for out-of-town appointments and setting up meeting folders and/or travel schedules.
- Maintaining filing system for the Deputy Director of Superintendent Support & Associate Director of Federal Programs/Leadership.
- Coordinating and processing travel arrangements and travel folders for Deputy Director of Superintendent Support & Associate Director of Federal Programs/Leadership.
- Organizing and coordinating annual shared services agreements, programs and services memos, and interagency agreements.
- Maintaining a “signature file” in order to expedite the timely submission of expenses for business office deadlines.
- Serving as a mentor to other Region 18 ESC administrative assistants.
- Handling staff members’ questions and problems associated with office procedures.
- Organizing agendas, handouts, and name tents for various meetings and training scheduled by the Deputy Director of Superintendent Support & Associate Director of Federal Programs/Leadership if needed.
- Assisting with the employment interview process for applicants.
- Processing work orders for assigned consultants.
- Assisting with special events as needed.
- Performing other duties that may be assigned by the Deputy Director of Superintendent Support & Associate Director of Federal Programs/Leadership.
