The Admissions Clerk will work under the supervision of the Admissions Team Lead. The clerk provides clerical support for the Admissions Department. Communicates daily and works closely with the admitting physician. Keeps track of bed status, admissions, discharges and expected time of discharge. Responsibilities also include ensures the Mental Health Authority has properly screened the patient who arrives; accepted by the admitting physician and have a valid section (Emergency detention). The clerk will also make sure the “Consumer Rights” have been explained to the patient upon admission and form MHRS 9-1 is completed. Daily communication will be done with law enforcement personnel and judges regarding commitments. Completes legal status, demographic sheet, chart labels, financial statement, and data entry into the EMR system.
Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
This postiion may be eligible to earn additional pay for work performed on evenings, nights and/or weekends.
Essential Job Functions (EJFs):
Ensures all patients are registered in the EMR. Upload admission packet documents and commitment into the EMR upon admission to the RGSC.
Prepare chart labels and face sheets on all admissions. Complete forms for the essential care givers and enter the essential care in EMR and update all admission logs.
Complete intake of financial statement to assess for possible sources of reimbursement.
Complete Receipt of Information Record. Provide the patient with verbal and written information and understanding of his rights (i.e., Handbook of Consumer Rights, Mental Health Treatment Declaration, Patient Grievance Process, Services Provided by Disability Rights Texas
Complies with all CTD mandatory training requirements and participates in ongoing training to maintain and develop skills.
Maintain enough inpatient binders in the admitting room with all the necessary documents to expedite the completion of the admission process.
Maintains liaison with outside agencies.
Provide Excellent Customer Service no more than three customer service complaints in a 12-month period.
Complies with HHSC expectations and observes safety practices. Observes and follows departmental rules and applicable standards with 100% compliance. Maintains HHSC training compliance.
Complies with all facility Continuous Quality Improvement programs (Joint Commission, Medicare, ADA, etc.) supporting growth in operations which are performed under applicable agency regulations.
Knowledge, Skills and Abilities (KSAs):
Knowledge of office procedures; of spelling, punctuation, grammar, and arithmetic; and of business or program terminology, methods, and procedures.
Skill in the use of a computer and office equipment.
Ability to interview patients, family members and or stakeholders.
Ability and maintain confidentiality and HIPPA guidelines at all times.
Ability to prepare and maintain records, files, and reports; to transfer stock from one location to another; and to communicate effectively.
Ability to maintain professional decorum in stressful situations.

Initial Screening Criteria:
Experience in clerical work.
Bilingual English and Spanish
Preference:
Twelve (12) months experience in at least one of the following:
Medical Office Admin Assistant, Certified Nurse Assistant, Psychiatric Nurse Assistant, or Patient Care Tech.
Customer Service Experience preferred.
Graduation from a standard senior high school or equivalent is generally preferred.
Graduate with Medical Office Specialist preferred.
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE). Males between the ages of 18-25 must be registered with the Selective Service.
All applicants must be at least 18 years of age to be considered for employment at a state-operated facility. Waco Center for Youth applicants must be 21 years of age.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.
Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. According to the Centers for Disease Control and Prevention, healthcare workers are at significant risk for acquiring or transmitting hepatitis B, measles, mumps, rubella, varicella (chicken pox), tetanus, diphtheria, pertussis (whooping cough), and influenza. All these diseases are vaccine preventable. As a result, state hospital policy requires employees be vaccinated according to their level of contact with individuals. In the event you choose to not be immunized for the influenza virus, you may be required to wear a mask and take other protective measures.
