Responsible for providing clerical and organizational support to the Richmond State Supported Living Center’s Nursing Services Team. Within established parameters, performs facility medical supplies and equipment purchasing tasks, manages multiple blanket purchase orders, repetitive clerical and administrative tasks related to Health Services – Nursing Services. Maintains computer files with all paper documentation from Health Services operations. Distributes files to appropriate parties.
Essential Job Functions (EJFs)
Attends work on a regular basis and may be required to work a specific shift schedule or a times, even at rotating schedule, extended shift and /or overtime in accordance with agency leave policy and performs other duties as assigned.
Maintain a database for nursing department licenses and contact information, update unit master nursing schedule. Completes forms/workorders for new nurses for computer/LAN/email access. Complete annual asset tag and inventory with property coordinator.
Research, order and maintain facility special order and request medical supply items and equipment purchases utilizing requisition requests or Procard. Reconcile and approve account payable invoices. Enters fiscal year requisitions, supply requisitions as needed, and maintains logbook for tracking purchases.
Receives all Nursing Department applications, and routes to appropriate Managers for consideration. Completes all new hire paperwork and coordinates final hiring process with JRC and candidate. Submits paperwork for promotions, lateral transfers, personnel actions requests. Monitors Nursing position roster for accuracy of all department vacancies and filled positions. Coordinates interviews as needed for Nurse Managers, OIG, HHSC PI, or Regulatory.
Take minutes for Nursing morning meeting and other meetings as needed.
Knowledge, Skills And Abilities (KSAs)
Working knowledge of computers, word processing, spreadsheets and databases.
Good verbal and written skills
Ability to work as a team and independently.
Ability to follow through to task completion.
Ability to organize both routine and complex tasks, set priorities and seek additional guidance from supervisor when needed.
Ability to establish and maintain effective work relations and display tact in difficult and stressful situations.
Ability to accept and work with system changes.
Knowledge of medical supplies and equipment
Ability to prepare and maintain records.
Registrations, Licensure Requirements Or Certifications

Initial Screening Criteria
High School Degree or GED
Two years’ experience in comparable duties to an Administrative Assistant
Working knowledge and experience with Microsoft Office Suite

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/ Entities (LEIE).

All State Supported Living Center Employees are subject to Random Drug Testing.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
