Brief Job Description
The Communications and Planning team prioritizes an environment of creativity and positivity by taking ownership of our words, actions and behaviors and how they impact the people we work with. The Training and Development Assistant supports the Utilization Review Communications and Planning team in the development of training to ensure employees are effectively trained. Organizes and prepares materials and supplies for training and development courses, including handouts, participant guides, presentations, and other resources. Uses business writing skills to prepare articles for in-house publication for training and other employee communications. Assists with compiling reports and maintaining training and development records and calendars, including course surveys. Assists with scheduling and registration for training and development courses and assists with coordinating and maintaining the training and development schedule. Serves as a liaison between the Communications and Planning team and other units/departments. May occasionally assist in the delivery of training a classroom, distance learning or e-learning environment. Demonstrates professional manners and communication skills as well as excellent interpersonal skills. Works under close supervision of Communications and Planning director, with minimal latitude for the use of initiative and independent judgment.
Essential Job Functions (EJFs)
Attends work on a regular basis and predictable schedule in accordance with agency leave policy.
Organizes and prepares training materials. Uses Microsoft PowerPoint, Adobe and other software to develop handouts, participant guides, presentations and other materials used to train staff on the completion of job duties and professional growth. Uses business writing skills to assist with distribution of written communications to staff via e-mail, department newsletter, and various other channels of communication; prepares articles for the monthly newsletter and develops slides for monthly staff trainings and quarterly staff meetings.
Responsible for communicating with the department staff services officer and other UR staff to maintain distribution/mailing lists for e-mails and other staff communications. Maintains records on the delivery of training courses to aid in the completion of training reports by using attendance records, spreadsheets and forms to monitor attendance and completion of training; provides a summary of the results to the lead training specialist for inclusion in training reports. (30%)
Helps develop training reports by providing information on training attendance and completion to the lead training specialist. Assists with record keeping, including records on training attendance and completion by capturing information from Microsoft Teams and sharing this information with the Director and lead training specialist. Assists with development of course surveys and compiling survey results by using Microsoft Forms or similar software to create surveys and compile results. (25%)
Assists in scheduling and enrollment for training courses. Uses Microsoft Outlook to schedule trainings and works closely with the Director and lead training specialist to identify participants. May develop and send ot registration links as needed. Assists with organizing a training schedule by reviewing previously offered training and working with lead training specialists to develop a plan for future trainings. Assists with developing communication regarding training opportunities by using business writing skills to draft and send e-mail communication to departmental staff. (25%)
Assists in the facilitation of training and provides support to staff in the delivery of training; work includes attending training sessions and acting as a facilitator to help lead training specialist answer any questions and/or deal with any issues that may arise during training. (15%)
Performs other duties as assigned to ensure completion of departmental operations. (5%)
Knowledge, Skills And Abilities (KSAs)
Knowledge of training and development procedures/techniques. Knowledge of adult learning principles, preferred.
Skill in the use of Microsoft Teams, Microsoft Forms, and SharePoint, preferred. Skill in business writing and developing internal communications. Skill in establishing and maintaining effective working relationships. Excellent interpersonal skills and communication skills (both oral and written) with people with diverse backgrounds at all levels of the organization.
Ability to assist in evaluating, developing, revising, and facilitating training programs. Ability to use Windows based programs such as Word, PowerPoint, Outlook, etc. Ability to operate basic office equipment and audio/visual equipment. Ability to work both within a team environment and independently. Ability to demonstrate good judgement and serve as a model for others in demonstrating the mission and values of HHSC.
