PRIMARY RESPONSIBILITY: To have the ability to assist in clerical tasks that will support our billing department and day to day office operations. A successful Clerical Clerk should be familiar with data entry procedures and have a flair for organization. The Clerical Clerk must have a good understanding of financial business practices, strong customer service skills with the ability to multitask.
SPECIFIC DUTIES:
- Assist in preparing invoices by collecting and organizing customer purchase orders, sales orders, and shipping confirmations.
- Prepare invoices to be batched into QuickBooks.
- Receiving, matching, and recording the receipt of vendor invoices.
- Record customer payments in QuickBooks.
- Assist in generating invoices for customers.
- Send completed invoices and monthly fees to customers.
- File timesheets.
- Organize and file invoices.
- Answer phones.
- Maintain department files.
- Promote Enthusiasm.
- Additional duties of and administrative nature that may be assigned from time to time.
Knowledge, Skills and Abilities
- Ability to multitask and stay organized.
- Analytical and have excellent math abilities.
- Requires excellent verbal and written communication skills.
- Highly organized with great time-management skills.
- Accurate 10-key abilities.
- Must be a self-starter and fast leaner to work efficiently in a fast-paced environment.
- Strong customer service skills.
- Proficient in the use of Excel and Microsoft 365.
- Prior clerical experience (3) years preferred.
