BRIEF POSITION SUMMARY
Performs routine (journey-level) staff services work for the Texas Air National Guard (TXANG) Headquarters. Duties involve administrative and technical support for several staff services functions such as personnel, operations, and recruitment. Reports to the Chief of Operations and works under moderate supervision, with limited latitude for the use of initiative and independent judgment.
WORK HOURS: Monday - Friday, 8 Hour Days, 40 hours a week
ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES
- Performs administrative and technical work in several staff services functions such as personnel, operations, recruiting, retention, and information management.
- Prepares and reviews operational and special reports as needed.
- Works with program staff to determine trends and resolve issues that may affect recruiting and retention efforts.
- Uses Microsoft Power BI, Microsoft Access or similar data visualization and database management systems to organize data, create basic visual reports, and support accurate information management and data entry tasks.
- Supports the TXANG recruiting and retention program through community outreach events, social and public media management, and records retention.
- Prepares and reviews administrative documents, forms, and reports.
- Handles and safeguards sensitive and confidential information by following established protocols, ensuring secure access, proper storage, and discretion in all communications.
- Assists with the planning and execution of meetings, training events, and/or workshops.
- Analyzes internal processes and recommends changes to improve operations.
- Attends work regularly and observes supervisor approved work hours in accordance the Texas Military Department (TMD) State Employee Policies and Procedures Manual.
- May be required to perform duty in support of national emergencies, disasters and other missions, to include holidays and weekends.
- Performs related work as assigned.
MINIMUM QUALIFICATIONS
EDUCATION:
- Graduation from an accredited four-year college or university is required (see substitution).
PREFERRED EDUCATION:
- Graduation from an accredited four-year college or university with major coursework in human resources, public, business administration, information systems or a related field is preferred.
EXPERIENCE:
- One (1) year of experience in office management, human resources administration, staff support, program management, and/or fiscal management activities such as budgeting, accounting, purchasing, or payroll.
- Experience utilizing Microsoft Office suite, at a minimum in Word, Excel, Outlook, and PowerPoint is required.
SUBSTITUTION:
- Additional years of work experience in office management, business administration, staff support, and fiscal management activities may substitute for required education on a year per year basis up to four years.
PREFERRED EXPERIENCE:
- At least four (4) years’ work experience in staff support, office management, or business administration.
REGISTRATION, CERTIFICATION OR LICENSURE:
- A valid driver’s license is required. *If not currently a Texas resident, must obtain a Texas Driver's License within 30 days after entering Texas as a new resident. A satisfactory driving record is required for driving state or personal vehicles to conduct agency business.
OTHER REQUIREMENTS:
- Must be able to obtain a Common Access Card (CAC). Selected candidate must pass a federal security background investigation. The process includes a National Agency Check and Inquiry (NACI) and fingerprinting. New employees must complete and sign the Office of Personnel Management (OPM) Form SF85.
- The Immigration Reform and Control Act of 1986 requires all new employees to present proof of eligibility to work in the United States within three (3) days of being hired. PHYSICAL/WORKING CONDITIONS
Work is typically performed in a sedentary office setting, spending more than 70% of the time sitting at a desk performing data entry on a personal computer. This position may periodically require the ability to lift, carry, move and/or set up equipment and materials that weigh up to 25 pounds. Requires the ability to travel up to approximately 15% of the time.
