Corporate Events Coordinator Position Summary:
The Corporate Events Coordinator is a critical role toward the success of Texas Motor Speedway meeting its annual revenue objectives and following its guiding principles of creating memorable events, positively impacting the community, and improving profitability. The ideal candidate will obtain significant ownership of the speedway’s corporate event business, provide major supporting responsibilities during the NASCAR weekends and will gain an opportunity for advancement toward Manager and Director levels within the sales department.
The Corporate Events Coordinator will be responsible to be on site for all corporate events, special events, major events and other events as needed. Their work week schedule will be flexible to accommodate the number of weekend events and their daily schedule may start later in the day to allow for evening events. Work from home flexibility may be earned over time based upon command of core responsibilities, familiarity of teammates, discretion of Special Events Manager.
Primary Daily Responsibilities:
· Assist in the development, presentation, and implementation of customized corporate event packages via available facility inventory.
· Work with Business Development Executives to cultivate new event rental opportunities for local, regional, and national businesses (Prospecting, appointment setting, executing presentations).
· Manage Facility Schedule to include major events, corporate event rentals, and blocking out major event windows and preparation time.
· Maintain department’s Corporate Event Playbook and continue to better define track rental/corporate events best practices and processes.
· Work with Special Events Manager to prepare and process corporate event contracts and event documents.
· Manage Corporate Event Implementation Process: Initial client meetings through preparation of clients estimates and rental agreements to final billing
· Coordinate with internal departments regarding 3rd party corporate event rental needs (quotes, COI, payments, etc.) and final reconciliation.
· Assist with the creation and coordination of event schedules, layouts, dot maps, track set-ups, and pre- and post- cleaning requirements.
· Assist in the creation and maintenance of event files: expense ledgers, event memo’s, contracts, etc.
· Build strong client relationships and updates guest history in order to meet their needs and encourage repeat business.
· Consistently seek ways to improve upon existing processes; encourage innovation, excellence and operation efficiency.
· Be knowledgeable about facility and able to provide alternative recommendations when locations are unavailable.
· Other duties as assigned
NASCAR Weekend responsibilities:
· Primary support/backup for Client Services Manager
· Co-Manage Tent Vendor/Orders and placement
· Co-Management of Fan Engagement areas for major event weekends
· Assist with Official Vehicle Sponsorship vehicle logistics
· Other duties as assigned
Skills and Minimum Qualifications:
- Bachelor’s degree or equivalent and one-to-three years’ experience
- Excellent written as well as verbal communication skills
- A self-starter and highly motivated to succeed
- A positive and can-do attitude
- Strong attention to detail
- Physical ability to lift and move heavy objects up to 50 pounds
- Team player with a high level of integrity
- Proficient in Microsoft Office (Excel, Word, PowerPoint), Dropbox/Box
- Salesforce knowledge a plus but not mandatory; willingness to learn the program
- Knowledge in online purchase order and invoice systems a plus
- Knowledge of budgets and budget tracking
