Overview
We are seeking a detail-oriented and organized Medical Administrative Assistant to join our healthcare team. Plays a vital role in ensuring efficient daily operations of a pain management clinic. This position is responsible for managing front desk duties, scheduling procedures, verifying insurance, and providing excellent patient service. The ideal candidate is detail-oriented, organized, and capable of handling multiple tasks
Duties
- Greet patients warmly and professionally, ensuring a positive patient experience.
- Check patients in and out, verify demographic and insurance information, and collect co-
- pays.
- Answer incoming phone calls, respond to inquiries, and direct calls appropriately.
- Track new patient referral source when inputting new patient information
- Promptly reports to front desk by 8:00am after morning huddle to assure the team begins
- on time.
- Manage cancellations and reschedules while optimizing provider schedules
- Procedure Coordination & Scheduling:
- Schedule patient procedures, and post-ops appointments.
- Educate patients on their upcoming procedures, preparation requirements (such as
- stopping BT or NSAID’s), and post-procedure care instructions.
- Manages Insurance procedure denials and coordinates with APP on peer to peers or new
- consultations.
- Obtaining procedure clearances such as Blood Thinner, General Cardiac, Pacemaker or
- Defibrillator clearance.
- Procedure chart prep making sure all proper documents are in the chart such as imaging,
- insurance auth/ approval if need be, proper procedure order in the chart and signed.
- Review patient charts for completed Actions
- Checking Faxes daily,
- Checking emails/ google chats
- Updating procedure spreadsheet
- Making sure voicemails are checked at the beginning of the day and the end of the day.
Qualifications & Requirements:
- Education: High school diploma or equivalent required
- Experience: Minimum 1-2 years of experience in a medical office, preferably in pain
management, orthopedics, or a surgical setting.
- Technical Skills: Proficiency in EMR systems, ability to learn new programs, and
medical scheduling software.
- Communication Skills: Excellent verbal and written communication with strong
- customer service skills.
- Organizational Skills: Ability to multitask, prioritize, and work efficiently under pressure.
- Knowledge: Understanding of medical terminology, insurance processes, and HIPAA compliance.
- Preferred: Experience with prior authorizations and procedure scheduling in a pain management setting.

Pay: $16.00 - $20.00 per hour
