Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
- High School Diploma/GED.
- 2-3 years of experience in providing advanced administrative support, to include providing customer service to various entities, preparing data as needed for events/meetings, and overseeing multiple projects/programs and services.
- 1-2 years of experience in budgeting, purchasing, and procurement methods and procedures.
- 1-2 years of experience using an ERP financial system.
- 2-3 years of experience with computer software such as Zoom, Microsoft Office products (i.e. MS Word, MS Excel, MS PowerPoint, MS Teams), and Adobe products.
- 2-3 years of experience in maintaining calendars and schedules.
Preferred Qualifications
- Bachelor’s Degree or some college coursework.
- Experience with making travel arrangements and processing travel reimbursements.
- Experience working in higher education setting.
- Proficiency in Adobe Sign, SAP, Qualtrics, and Concur software.
Job Description
The Administrative Assistant III is responsible for daily administrative operations specifically related to the Student Involvement unit and special projects as assigned by the Program Director for Student Involvement. The position also provides administrative support for the entire Student Involvement and Engagement department by assisting with monitoring budgets, processing procurement forms and contracts, and managing HR processes. The position requires a proactive approach to problem-solving, excellent organizational skills, and the ability to work independently.
Job Duties
- Monitor and/or order inventory and supplies for the units in the department, as needed.
- Manage department and unit procurement, contracts, and purchasing processes and procedures, and assist in the management of departmental budgets.
- Assist with travel arrangements and prepare travel requests and reimbursements using Concur.
- Process PCRs and other HR related paperwork.
- Serve as Department Key Administrator.
- Support Coordinators with event management and logistics.
- Review correspondence, documents, and draft, proofread, and edit documents paying particular attention to detail.
- Greet, screen, and route visitors.
- Maintain multiple calendars, schedule meetings, manage room reservations, and coordinate, gather information, and compile data as needed for events/meetings.
- Answer multi-line phone and transfer calls, as needed.
- Maintain accurate and current record-keeping (i.e. procurement cards).
- Other duties as requested or required, whether or not specifically mentioned in this job description.
