Part Time - Administrative Assistant
Position Summary
Provides administrative support to the Director of Graduate Programs in Nursing Practice. Responsible for office management duties including phone coverage, mail, appointment calendar, records keeping, project management, assistance with accreditation activities, and interacting with students, faculty, and University offices. Supports other projects as assigned.
Essential Duties and Responsibilities
Screening incoming telephone calls, provide information, route calls and take messages.
Schedule and coordinate meetings and events as requested.
Assist with budgetary transactions for program budget including fund transfers, reimbursements, and account payables.
Manage and track license and credential databases for students.
Assist with accreditation activities and record keeping.
Obtaining and screening of required documents for incoming students.
Assist in organization, preparation, and clean up of on-campus student activities.
Assist with ordering and distributing student clinical items.
Assist with student clinical assignments and documents.
Assist with registration and advising of students each semester.
Collect and file syllabi per semester.
Assist with student/cohort success tracking.
Assist with alumni activities and tracking.
Monitors and makes arrangements for equipment and supply orders and repair.
Hours outside of usual 8:00 – 5:00 work time including evening or weekend hours may be needed infrequently.

Education, Certifications and/or Licenses
High school diploma or general education degree (GED) required.
Some education at college level preferred.

Previous office experience required.

- Knowledge of standard office practices and procedures, including filing.
- Fundamental knowledge of data retrieval.

- Ability to type 50 w.p.m. and strong data entry skills.

MATHEMATICAL SKILLS
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Ability to apply common sense understanding to carry out detailed written or oral instructions.
- Ability to deal with problems involving a few concrete variables in standardized situations.
