The Office Manager plays a crucial role in ensuring the smooth operation of daily activities within a company. This position serves as a central point of coordination, aligning various departments and teams with the organization's broader business goals. By effectively managing office operations, the Office Manager contributes to increased efficiency, productivity, and overall staff morale.
Job Duties/Responsibilities
Key responsibilities include overseeing daily office functions, leading and mentoring administrative teams, and implementing policies that enhance workflow. Tasked with managing specific areas such as sales support and customer service, ensuring that these teams meet their targets and deliver exceptional service. Through the Office Manager's leadership and strategic oversight, help create a positive and productive work environment that supports the company's mission and objectives.
Typical duties include:
- Supervise and mentor administrative staff, providing guidance and support as needed.
- Manage office budgets, expenses, and procurement of supplies and equipment.
- Coordinate office procedures and workflows to optimize efficiency.
- Implement and maintain office policies and procedures in alignment with company goals.
- Oversee facility management, including maintenance, security, and space allocation.
- Assist in the planning and execution of company events and meetings.
- Act as the primary point of contact for internal and external communications.
- Ensure compliance with health and safety regulations within the workplace
Requirements
Education/Experience
- Accredited four (4) year degree or equivalent in applicable field of study
- Six (6) or more years of work-related experience
- Experience in budget management and financial reporting
Skills/Abilities
- Ability to communicate effectively with audiences that include but are not limited to management, coworkers, clients, vendors, contractors, and other stakeholders
- Job related technical knowledge necessary to complete the job
- Ability to learn and apply knowledge of applicable local, state/province, and federal/national statutes and guidelines
- Ability to attend to detail and work in a time-conscious and time-effective manner
- Excellent skills in interpersonal relations, conflict resolution, communication, and leadership; possess strong presentation ability to address senior management, client management, and total project personnel with command
- Proficient in office software suites (e.g., Microsoft Office, Google Workspace)
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Leadership skills with the ability to motivate and develop a team
- Problem-solving skills and a proactive approach to challenges
- Knowledge of office management procedures and best practices
- Familiarity with project management tools
- Demonstrated strong decision making, critical thinking and problem-solving skills with ability to remain calm while taking charge in critical situations
