In addition to our in-person offerings, due to COVID-19, we pivoted to deliver our powerful leadership experiences digitally through various platforms in order to continue to bring our clients the West Point experience from their respective locations. We are now delivering both in-person globally and virtual/online programs.
Job Description:
The Faculty Scheduling Coordinator plays a key role in ensuring the smooth operation of faculty sessions for both virtual and in-person programs at Thayer Leadership. This role requires strong organizational skills, attention to detail, effective communication, and collaboration across departments to coordinate faculty scheduling and related hotel accommodations.
Responsibilities:
Data Management: Enter and review faculty scheduling data using Airtable, ensuring accurate and up-to-date information. Monitor and address any discrepancies in scheduling or program details.
Faculty Scheduling & Calendar Conflict Resolution: Assist with scheduling faculty sessions and anticipate potential calendar conflicts. Work closely with faculty and internal team members to resolve scheduling and logistical issues in a timely and efficient manner.
Hotel Accommodations Coordination: Communicate and coordinate with faculty regarding hotel accommodations. Oversee the booking of faculty guest room reservations at The Historic Thayer Hotel and other hotels, as needed, ensuring comfortable and timely arrangements.
Collaboration with Internal Teams: Collaborate with other departments at Thayer Leadership to ensure alignment and achieve excellence in supporting faculty delivery and program execution. Foster strong working relationships across teams to ensure faculty and client needs are met effectively.
Other Duties as Assigned: Perform additional responsibilities and tasks as directed by management, contributing to the success of faculty support and program execution.
Competencies / Skills Required:
- Strong organizational and multitasking abilities.
- Excellent communication skills for coordinating with faculty and internal teams.
- Proficiency in Microsoft Office; Airtable knowledge a plus.
- Experience with scheduling and coordinating hotel accommodations or related scheduling services.
- Ability to collaborate across departments to achieve program goals.
- Detail-oriented with the ability to track and review multiple pieces of data or information at once.
Education or Experience:
- Minimum of 3 years of administrative/clerical office experience required
- Associate or Bachelor degree preferred
Work Location: Hybrid work schedule; 2-3 days per week or as needed
Job Type: Part-time
Pay: $22.00 - $26.00 per hour
