The Aberdeen-Springfield Canal Company (ASCC) is seeking a capable, self-motivated individual to fill a full-time Office Assistant position.
Under direct supervision of the Aberdeen-Springfield Canal Company (ASCC) General Manager, the Office Assistant updates changes in ownership and monitors real property transfers and property descriptions. This position is also responsible for all day-to-day duties of office reception and shareholder interactions, both telephonically and walk-in inquiries.
1. Serves as first point of contact; greets visitors; and maintains and a clean front entrance.
2. Receives and delivers mail and makes bank deposits, as required.
3. Files, scans, and duplicates documents, as instructed.
4. Assists stakeholders and customers by answering the main office number, transferring calls, and delivering messages to appropriate departments.
5. Administers complex processes related to platting, legal description reading and interpretations, and property transfers.
6. Types correspondence to shareholders, as instructed.
7. Researches and determines properties that have been sold and/or split.
8. Responds to title companies, lending institutions, appraisers, ASCC staff, shareholders, and other interested parties in a timely manner.
9. Gathers appropriate documentation needed for transfers and verifies legal descriptions.
10. Reviews aerial maps to determine acreage and confirms boundary requirements.
11. Creates maps with mapping program showing ownership.
12. Maintains parcel master entry to keep records current.
13. Maintains STORM accounts and handles mass mailing to stakeholders as required an/or instructed.
14. Performs all work duties and activities in accordance with ASCC policies and procedures and by-laws.
15. Coordinates and interacts with all departments to document and maintain information to pertaining to equipment, licenses, warranties, maintenance contracts, renewals, and other important logistical functions.
16. Ensures the timely delivery of goods and services to ASCC personnel, such as telephones, tables, and office supplies.
17. Performs other duties and responsibilities, as assigned by the General Manager.
Three (3) or more of the following:
Any combination of experience and education provides the necessary knowledge, skills, and abilities for the position.
· One (1) to three (3) years of experience in customer relations with exceptional skills.
· One (1)-year working in a water utility environment, preferable.
· One (1)-year working with legal documents, deeds, property descriptions, and other technical terminology.
· One (1)-year experience with computer software office programs.
· One (1)-year experience with specialized mapping programs.
· Specialized training or education in customer service practices, preferable but not mandatory.
· High school diploma or equivalent.
· College course work or degree(s) in accounting, human resource, management, business, technology management, psychology, information technology, or any other related discipline.
· Experience, education, and training, in any combination, are acceptable.

· Must have and maintain a current motor vehicle license.
· Must have and maintain an insurable driving record; and may be required to provide proof of current liability insurance meeting or exceeding state-required minimum coverage.
