The Accounting Assistant is responsible for the day-to-day operations of the Customer Service & Purchasing Department. The Accounting Assistant needs to be proficient with Microsoft Office, particularly Excel and Word.
Responsibilities:
- Review vendor invoices, code and generate weekly check requests
- Respond to vendor and/or customer inquiries as needed
- Enter and apply customer payments, generate invoices and forward to customers as needed
- Review AR report weekly/daily if necessary and assist with collections as needed
- Reconcile customer accounts as needed by identifying posting errors
- Investigate any returns, credits and resolve accordingly
- Vet and process credit and PIA Agreements and submit to management for approval.
- Set up new customer accounts as requested
- Prepare checks and scan to bank
- Order office supplies
- General point of contact for annual inventory and responsible for reconciliation
- Maintain files and documentation thoroughly and accurately in accordance with accepted accounting practices
- Assist Purchasing Manager with special orders, enter freight and customs invoices, track incoming stock. Create payment requests for supplier payments
- Periodically, compile and generate monthly reports as requested
