JOB DESCRIPTION
JOB TITLE: Assistant Athletic Director
SUPERVISOR: Athletic Director
JOB STATUS: Full Time (37.5 hours per week), 12 month position
Non-exempt (hourly)
POSITION SUMMARY: The Assistant Athletic Director is responsible for performing administrative
assistant responsibilities necessary to accomplish objectives established by the Athletic Director.
Presents a positive image to parents, the community and staff. Properly handles confidential matters
relating to students, student records, parents, staff and any other school-related issues.
Responsible for data and budget tracking, scheduling, requalification data, NYS required compliance
and pre-season coach and parent meetings.
SUPERVISION EXERCISED: None
SPECIFIC RESPONSIBILITIES:
- Supports Athletic Director in running the Athletic Program
- Coordinates athletic and academic transportation to games and field trips
- Organizes and submits all student-athlete requalification data using NYS standards and regulations
- Works closely with the school nurse to verify student eligibility to participate in school athletics
- Inputs data to the “RSchool” system to track team game and practice and outside organization use of
- Confirms games with stakeholders (opponent coaches, referees, Aquinas security, etc)
- Creates and communicates supervision schedule
- Tracks each athlete’s participation is sports each season
- Organizes and submits scholar athletes to NYSPHSAA
- Tracks referee and supervisor pay and work program vouchers
- Processes insurance forms (accident reports, claim reports, certificates of insurance).
- Prepares agenda and materials for pre-season Coaches Meeting and Parents Meeting for all three
- Maintains NYS coaching certification requirements for all coaches
- Maintains the Athletics portion of the Aquinas Website
- Partners with Athletic Director on athletic event needs; including working any specific events at the
QUALIFICATIONS
Knowledge and Experience:
- High school diploma required. Associates degree is preferred
- A minimum of two years previous administrative or athletic office experience preferred
- Experience with RSchool computer system highly desired
- Experience in an athletic office strongly preferred.

- Excellent computer skills. Knowledge of fundraising software preferred
- Ability to work evenings and weekends required
WORK ENVIRONMENT:
This job operates in a professional office environment. This role routinely uses standard office
equipment such as computers, phone, copiers, filing cabinets and fax machines.
PHYSICAL DEMANDS:
Physical demands of the position includes long periods of sitting, standing, walking and lifting supplies.
HOURS: Core hours are 8:30 a.m. – 4:30 p.m., Monday through Friday, but may vary depending on
work needs. Requires the ability to work outside the school schedule as needed.
At Aquinas, base pay is one part of our total compensation package and is determined within a range.
The base pay for this role is between $40,000 and $48,000 annually. Your base pay will depend on your
skills, qualifications, and experience. A comprehensive benefits package is also available.
