The Arc Baltimore is looking for a highly organized and detail oriented First Impression Receptionist to assist in keeping our office running smoothly and efficiently. This includes communicating with stakeholders on the phone, through email or in-person and managing their requests as well as assisting the executive staff in general with administrative needs. The incumbent will have a pleasant demeanor and able to communicate with visitors and guests in a timely and effective manner. Multitasking and stress management skills are essential for this position. The incumbent’s duties and responsibilities are to ensure visitors as well as internal staff are welcomed positively, with professionalism.

Job Responsibilities
- Communicating with stake holders on the phone, through email or in-person and managing their requests
- Professionally greet, direct and assist all guests and visitors
- Answer telephone calls while maintaining proper etiquette and professionalism at all times
- Assist with coordinating and scheduling events, conferences, meetings, conference rooms, luncheons, etc.
- Responsible for clerical and data entry duties as assigned by supervisor
- Ensure that front desk established procedures are maintained during an emergency and emergency drills

Responsible for maintaining the security of the front desk area in accordance with agency security procedures to include:
- Distribute and collect visitor badges
- Maintain visitor logs and staff temporary badge logs
- Monitor camera system entry and entry to departments
- Verify staff and distribute temporary badges
- Assist with incoming/outgoing mail distribution as assigned
- Maintain the security of confidential information
- Complete all agency-required trainings for position
Qualifications
- High school diploma or GED required
- 2-3 years of administrative experience
Knowledge, Skills and Abilities
- Detail oriented
- Outstanding organizational and time management skills necessary
- Proficiency with Microsoft Word, Excel, Power Point, Publisher and Outlook
- Excellent communication and customer service skills
- Able to collaborate with other administrators and support personnel, management and stakeholders on a regular basis
- Proficient in a variety of writing styles from creative to professional
- Ability to make independent decisions on a daily basis, addressing the best way to handle specific tasks
- Operating office equipment including printers, copiers, and multimedia instruments
Working Conditions
- Lifting 20 lbs. maximum with infrequent lifting or carrying of objects weighing up to 10 lbs.
- Sitting most of the time with a small degree of pushing/pulling of arm or leg controls
- Work day is 8 hours (including lunch) from 8:30 am – 4:30 pm
