Summary: The Administrative Assistant provides administrative support to the executive team and when needed any and all Agency programs and services, in order to support individuals with intellectual and developmental disabilities reach their highest potential.
Position: Non-exempt, part-time (20-25 hours per week). Typical hours are Monday – Friday between 8am – 1pm. This position primarily operates from the Turnersville Achievement Center with the potential to travel and work from multiple facilities operated by The Arc Gloucester.
Essential Duties and Responsibilities:
- Provides general office management support, as well as manages the front desk area, answering calls, greeting visitors, employees, and participants
- Answers internal & external calls, emails, digital and in-person requests and questions
- Efficiently, accurately, and timely completes administrative duties, including but not limited to organizing, filing, maintaining the professional appearance of the office, auditing, etc.
- Provides administrative support to an assigned program and when needed all Agency programs, including preparing professional, written correspondence
- Assists with the coordination and communication with day program staff, support coordinators, transportation, guardians and families.
- Prepares reports, correspondence, forms, ISPs, NJISP worksheets, records etc.
- Generates e-tickets & problem solves facilities, IT, transportation issues corresponding with the appropriate departments
- Reviews & identifies errors in documentation, including EMARs (Therap)
- Supports events and training, assisting with registrations, answering general questions
- Assists with maintaining the daily income journal of all monies received, as assigned
- Primary department, work location and schedule may vary.

- Comply with the DDD Program Manual, The Arc Gloucester Policies and Procedures Manual and applicable state, local and federal regulations, including any COVID-19 vaccination mandates & policies
- Must cooperate and participate in reviews, investigations, and inspections, including but not limited to DHS Licensing and DHS staff.
- Occasional management responsibilities, including assisting with trainings, planning, workflow, and problem solving
- Complete and maintain required training
- Additional responsibilities as required
Qualifications:
- High school degree with some college. Experience may be substituted for college education.
- Must be 18 years of age or older
- Knowledge or experience with supporting individuals with intellectual and developmental disabilities is preferred
- Must have a current, non-probationary driver’s license with 5 points or less, and deemed acceptable to drive by The Arc Gloucester’s liability insurance company
- Proficient in basic computer, math, reading comprehension and verbal and written communication skills
- Experience with Microsoft 365 and database tools.
- Successfully pass initial and ongoing State/Federal Criminal Background checks, including but not limited to Fingerprinting, CARI checks, Central Registry checks, MVR and drug screens
- Certified in CPR/First Aid
