Position: Human Resources Assistant

Salary: $18.00 - $22.00 per hour.
The Arc of Evansville is seeking an HR Assistant that will be responsible for providing essential administrative support to the Chief Human Resources Officer (CHRO) and the HR department. This role is responsible for handling a variety of human resources tasks, including maintaining employee records, assisting with recruitment and onboarding, processing HR documentation, and ensuring compliance with company policies and procedures. The HR Assistant will play a key role in supporting daily HR operations, handling confidential information with discretion, and providing excellent customer service to employees and management.

Job Duties
- Maintains and organizes employee files, including correspondence, medical records, I-9s, and emergency contact information.
- Ensures timely and accurate filing, record-keeping, and compliance with retention policies.
- Updates and revises HR forms as needed.
- Assists with the hiring process by writing and updating job postings for review by the CHRO.
- Schedules and completes phone interviews and coordinates pre-employment screenings (drug tests, TB tests).
- Prepares new hire packets and ensures collection of all required documents.
- Prints and mails new hire welcome letters monthly.
- Schedules new employee training sessions.
- Collects and tracks employee training and certification documents weekly.
- Sends and tracks 6-month and 1-year employee satisfaction surveys.
- Conducts and manages annual background screenings (State/Local Criminal History Checks, MVRs, Exclusion Lists).
- Processes I-9 verifications through E-Verify and submits new hire reporting per state regulations.
- Assists with FMLA and leave documentation, ensuring timely submissions and follow-ups.
- Supports annual benefit open enrollment by preparing documents, scheduling meetings, and coordinating vendor schedules.
- Maintains monthly safety folders, following up with managers to collect missing checklists and documents.
- Performs additional clerical duties and HR projects as assigned.

Minimum Qualifications
- Associate or bachelor’s degree in human resources management, Business Administration, or a related field preferred.
- Certification in Human Resources (PHR or SPHR) preferred but not required.
- Two to three years of progressively related administrative human resources experience.
