SIGN-ON BONUS
Hours: 8:00 am to 12:00 pm (Monday to Friday)
Location: Huntsville, AL
SUMMARY
Assists administrative personnel and operates multiline telephone system to answer incoming calls and directs callers to appropriate personnel by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned
Retrieves messages from voice mail and forwards to appropriate personnel
Answers incoming telephone calls, determines purpose of callers, and forwards call to appropriate personnel
Answers questions about organization and provides callers with address, directions, and other information
Monitor mail log and distribute mail to designated personnel
Facilitate, coordinate, and send out information for Board of Director Meeting monthly
Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel
Assist with client accounts and documentation
Serves as a point of contact for office supplies needed
Collect, prepare, and enter utilities invoices
Maintains copier, postage meter, and other office equipment
Maintain petty cash
Receives, sorts, logs, and routes mail daily
Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes
Takes, logs, receipts, and sends acknowledgements for contributions and payments for services including memorial funds contributions
Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary
Performs other clerical duties as needed, such as filing, photocopying and collating
Maintain responsibility of cash drawer and petty cash
Assists with various mailouts from the organization
Enter requisitions for payment into SAGE
Be punctual and in attendance at work as scheduled

EDUCATION and/or EXPERIENCE: A high school education/GED with at least one-year experience as a receptionist/secretary.
