Join Our Team as Director of Billing – Clinical Services
 
The Arc of the Ozarks is seeking a detail-driven and strategic Director of Billing – Clinical Services to lead our clinic’s billing operations, including oversight of satellite locations. Come join our mission-driven team and play a key role in supporting individuals and families impacted by autism and neurodevelopmental differences.
 
About the Position:
The Director of Billing oversees all clinical billing functions for services such as Occupational Therapy (OT), Applied Behavior Analysis (ABA), Speech-Language Pathology (SLP), Psychiatry, Physical Therapy (PT), and Counseling. This role is responsible for ensuring accurate, timely billing and claims submission, managing reimbursement processes, maintaining compliance with payer regulations, and optimizing revenue cycle performance.
Reporting to the Senior Vice President of Finance, the Director will lead a team of billing professionals while collaborating closely with clinical and administrative staff. This is a salaried, exempt leadership position.

  • Ensure timely and accurate claims processing and resolution of denials
  • Maintain regulatory compliance (HIPAA, CMS, CARF, HCBS)
  • Oversee patient intake, scheduling, and flow in collaboration with clinical staff
  • Generate and analyze financial reports to track KPIs, payer mix, and revenue trends
  • Collaborate with leadership to align billing strategy with clinic goals
  • Support a high-quality, confidential patient experience

What We are Looking for:
  • Bachelor’s degree in Healthcare Administration, Business, or related field (Master’s preferred)
  • 5 years of progressive healthcare operations management experience, ideally in a clinical setting
  • Knowledge of OT, ABA, SLP, PT, psychiatry, counseling services, and associated billing practices
  • Proficiency in billing software, EHR systems, and Microsoft Office Suite

Qualifications


The Director of Billing oversees all billing functions for our clinic, including satellite locations, which specialize in Autism and Neurodevelopmental Assessments and Therapies, Applied Behavior Analysis (ABA), and other clinical services. This role is responsible for managing the billing process for services such as Occupational Therapy (OT), Applied Behavior Analysis (ABA), Speech-Language Pathology (SLP), Psychiatry, Physical Therapy (PT), and Counseling for both children and adults.

Key responsibilities include ensuring accurate and timely claims submission, managing reimbursement processes, maintaining compliance with billing regulations, overseeing insurance authorizations and denials, and optimizing revenue cycle performance.

General supervision is received from the Senior Vice President of Finance; however, the employee is expected to exercise independent judgment and initiative within established guidelines and procedures. This is a salaried, exempt position.

Essential Job Functions

Mission and Core Values

Serves as an ambassador of the mission and purpose of The Arc of the Ozarks

Attend at least two Arc-sponsored events such as fundraisers or networking events.

Strategic Leadership, Planning and Reporting

Collaborate with senior leadership to develop strategic goals for clinical services billing and operations.

Provide regular reports on operational and financial performance, including key performance indicators (KPIs), billing trends, and any issues requiring attention.

Develop and manage budgets for clinical billing and operations, ensuring financial targets are met.

Leadership and Team Management

Team Management

Lead, train, and mentor the billing and operations team, fostering a culture of collaboration, accountability, and continuous improvement.

Develop performance metrics and conduct regular performance evaluations for team members.

Act as a liaison between clinical staff, administration, and external partners, ensuring effective communication and problem resolution.

Supervise and manage the operational aspects of the clinical services department, ensuring efficient day-to-day operations.

Collaborate with clinical leadership to streamline workflows, improve service delivery, and enhance operational efficiency.

Implement and maintain effective scheduling, intake, and patient flow processes for clinical services.

Oversee the coordination of resources, equipment, and staffing to support clinical operations.

Ensure compliance with local, state, and federal regulations and accreditation standards (e.g., CARF, HCBS)..

Compliance Quality Assurance

Ensure clinical services adhere to all billing, coding, and documentation regulations, including HIPAA and payer-specific requirements.

Conduct regular audits of clinical services and billing practices to identify areas for improvement.

Work with clinical and administrative teams to ensure that clinical service quality standards are met and exceeded.

Stay informed about changes in regulations and industry standards related to clinical billing and operational practices, and ensure the team is trained accordingly.

Resource Management

Efficiently allocate and manage clinic resources, including personnel, equipment, and supplies, to optimize service delivery and maintain cost-effectiveness.

Compliance and Regulations

Ensure the clinic's compliance with all relevant regulations, licensing requirements, and legal standards. Stay up-to-date with industry developments and best practices to ensure the clinic's operations are aligned with current guidelines.

Patient Experience

Focus on providing an exceptional patient experience by implementing strategies that promote patient satisfaction, safety, and confidentiality.

Collaboration

Foster effective communication and collaboration among various disciplines within the clinic, promoting a multidisciplinary approach to patient care.

 

Communicates with staff at all levels within the clinic and across the organization regarding relevant policies, processes, and updates. Participates as a member of Senior Staff and other relevant committees.

Billing and Revenue Cycle Management

Oversee all aspects of billing for clinical services, ensuring accurate and timely submission of claims for OT, PT, SLP, ABA, counseling, evaluation, psychiatry, interventional psychiatry, and other relevant services.  

Monitor and manage accounts receivable, ensuring timely resolution of payment discrepancies and denials.

Work closely with clinical teams to ensure proper documentation and coding standards are followed for billing purposes.

Develop and implement billing policies and procedures that comply with healthcare regulations and industry standards.

Analyze financial performance, including revenue trends, payer mix, and reimbursement rates, to identify opportunities for optimization.

Technology Integration

Stay informed about technological advancements relevant to the clinic's operations and explore opportunities to integrate technology for enhanced efficiency and patient care.

Reporting

Prepare regular operational reports for the clinic's leadership, highlighting key performance metrics, challenges, and proposed solutions.

 

Required Knowledge, Skills, and Abilities

Ability to exercise good judgment and discretion.

Familiarity of Autism and Neurodevelopmental Assessments and Therapies. Familiarity with various therapy approaches, including OT, ABA, SLP, psychiatry, PT, counseling, and other related services,

Proficiency in healthcare operations management, including patient scheduling, intake procedures, effective billing procedures, treatment protocols, and quality assurance. Knowledge of healthcare regulations, compliance standards, and privacy laws (e.g., HIPAA) is crucial.

Ability to work varied and flexible hours and to accept and adapt to changes in

assignments, methods, policies, etc.

Proven ability to lead, motivate, and manage a multidisciplinary team of clinical and administrative professionals.

Strong interpersonal skills to foster a positive and collaborative work environment.

Bachelor's degree in Healthcare Administration, Business Management, or a related field. Master's degree preferred. Directly relevant, year for year experience may be considered in lieu of a degree.

Minimum of 5 years of progressive experience in healthcare operations management, preferably in a clinic setting.

Strong understanding of Autism and Neurodevelopmental Assessments and Therapies, including OT, ABA, SLP, psychiatry, PT, and counseling.

Experience in managing billing for multiple clinical disciplines, including OT, PT, SLP, counseling, psychiatry, and interventional psychiatry.

Knowledge of relevant healthcare regulations, payer requirements, and industry standards, including CMS, HIPAA, and CARF/HCBS standards.

Strong leadership, communication, and interpersonal skills, with the ability to collaborate across departments and lead a team effectively.

Demonstrated ability to manage budgets, financial reporting, and performance metrics.

Proficiency in billing software and electronic health record (EHR) systems, as well as Microsoft Office Suite (Excel, Word, PowerPoint).

Ability to work in a fast-paced environment, managing multiple tasks and priorities.
