What is this job all about?
The Quality Management Coordinator plays a critical role in ensuring compliance with all regulatory standards and guidelines within The Arc of the Ozarks' programs. This position is responsible for conducting comprehensive billing audits, clinical records reviews, and managing the Electronic Medication Administration Record (eMAR) system. The Quality Management Coordinator collects, analyzes, and reports data to support continuous quality improvement, collaborating with leadership to implement best practices and corrective action plans as needed.
Reporting directly to the Director of Quality Management, and working closely with the Medical Director, this individual proactively identifies trends, mitigates risks, and supports the organizations commitment to delivering high-quality, person-centered care. The role requires independent decision-making, problem-solving skills, and the ability to navigate complex regulatory environments.

What will my day-to-day responsibilities look like?
Regulatory Compliance & Quality Assurance
Conducts quarterly billing audits for the Autism and Neurodevelopmental Center and Behavioral Health Services to verify that services billed align with services provided. Works with departments on corrective actions as needed.
Performs monthly documentation audits for all clinical services and submits findings to the Medical Director for review and follow-up.
Collaborates with the Director of Quality Management and other members of leadership to ensure full compliance with Medicaid and Medicare regulations, promptly addressing any identified deficiencies.
eMAR System Administration & Medication Oversight
Manages Electronic Medication Administration Record (eMAR) system user privileges, ensuring appropriate system access and security.
Maintains accurate client medication records, updates system functions, and works closely with the system provider to implement improvements.
Regularly audits medication passes, ensuring adherence to best practices and regulatory guidelines.
Analyzes General Event Reports (GERs) for medication errors, identifying trends and collaborating with Program Directors and Community Registered Nurses to address issues proactively.
Provides ongoing training and technical support to relevant departments regarding eMAR system updates and best practices.
Works closely with Nurse Educators to ensure up-to-date training materials and compliance measures.
Incident & Risk Management
Conducts mortality reviews as needed in compliance with Department of Mental Health (DMH) guidelines.
Inputs and manages General Event Reports (GERs) in the DMH system and serves as a backup to the Quality Management Assistant for incident reporting and data entry.
Identifies patterns of risk and collaborates with leadership to implement risk-reduction strategies.
Training, Reporting, & Continuous Improvement
Participates in agency committees and workgroups as assigned, providing expertise on compliance, quality improvement, and best practices.
Assists in the development and delivery of training programs to enhance staff competency in documentation, compliance, and risk management procedures.
Provides recommendations for process improvements that support efficiency, accuracy, and compliance across clinical and administrative functions.
Completes other assigned responsibilities within established timeframes.
What do I need to be successful in this position?
Bachelors degree in a relevant field (Healthcare Administration, Quality Management, Nursing, Social Work, or a related discipline) preferred. Directly relevant work experience may be considered in lieu of a college degree.
Experience in healthcare compliance, quality assurance, or regulatory auditing is strongly preferred.
Knowledge of Medicaid/Medicare billing practices, electronic health records (EHRs), and clinical service documentation preferred.
Strong analytical skills with the ability to interpret data, identify trends, and recommend actionable improvements.
Proficiency in eMAR systems, incident reporting protocols, and compliance-related software.
Excellent communication and training abilities to effectively educate staff on quality standards and regulatory updates.
Ability to work independently with minimal supervision while managing multiple projects.
Ability to travel periodically within the state of Missouri.
