Position Description:
The Program Coordinator provides comprehensive administrative and clerical support to the department, project, or director. The role requires proficiency in both basic and advanced clerical tasks, processes, and techniques relevant to the position. The individual in this role works with minimal supervision and must demonstrate strong organizational and multitasking skills. This is a non-exempt position.
- Full-time, non-exempt hourly position - 40 hours per week.
- Work a variable and flexible schedule, including evenings and weekends, to meet the needs of the children and the program.
- Pay rate of $19.42 per hour.
Key Responsibilities Include:
- Assist team members to ensure departmental processes and procedures are completed accurately.
- Communicate professionally and kindly with all staff to foster a positive work environment.
- Maintain accurate monthly timelines for service documentation and end-of-month paperwork.
- Model and promote person-centered practices and excellent customer service interactions with youth.
- Complete and submit all monthly paperwork, including petty cash forms, mileage logs, youth allowances, and purchase receipts, ensuring compliance and quality.
- Maintain client records and forms as required by COMAR, DHS-SSA, DDA, and organizational policies.
- Provide up to 20 hours of direct support care weekly as needed, including emergency coverage for appointments, absences, or call-outs.
- Review documentation for quality assurance, including emergency drills, attendance, and care tracker records, ensuring billing accuracy and compliance.
- Support CARF accreditation efforts through tracking and documentation as directed by the program team.
- Coordinate bulk supply orders and deliveries for youth program homes, including priority items like clothing and bedding.
- Maintain and update resource guides and materials for direct care staff.
- Schedule quarterly reviews with teams and stakeholders, distribute completed service plans, and prepare youth handbooks for new residents.
- Participate in the Emergency On-Call Rotation and perform other duties as assigned.
Position Requirements:
- High School Diploma or GED required.
- Minimum of 1 year of experience in a residential setting required; clerical/administrative experience preferred.
- Advanced education, professional development classes, or certifications are desirable.
- A valid driver’s license is required, with a minimum of two (2) years of driving experience and the ability to safely transport individuals.
- Ability to provide direct care and implement proper physical interventions to ensure the health and safety of the persons served.
- Ability to attend our new hire training Monday – Friday 8:30 AM – 5:00 PM for the first three weeks and two days of employment.
- Proficiency in Microsoft Office Suite – Word, Excel, Outlook, PowerPoint, and other computer software programs required.
- Must be able to perform all essential duties satisfactorily.
- The successful candidate will need to pass a comprehensive background check which includes a State and national criminal history check, fingerprinting, and pre-employment screenings including a drug screen and physical/ergonomic testing.
