The Ward Clerk supports the nursing unit of a Skilled Nursing Facility (SNF) by handling administrative tasks such as managing patient records, scheduling, and facilitating communication among staff, patients, and families. This role helps ensure efficient daily operations and high-quality patient care.
Responsibilities
- Patient Records Management:
- Maintain and update patient records, ensuring they are accurate and complete.
- Handle admissions, discharges, and transfers of patients, including ensuring that all related documentation is processed.
- Ensure patient confidentiality in accordance with HIPAA regulations.
- Communication:
- Serve as a liaison between patients, nursing staff, medical providers, and family members.
- Answer phone calls, take messages, and direct inquiries to appropriate personnel.
- Scheduling and Appointments:
- Schedule and coordinate patient appointments for tests, treatments, and physician visits.
- Ensure timely and accurate documentation of appointments.
- Administrative Support:
- Prepare and manage daily stand up reports.
- Assist in ordering and managing supplies for the nursing unit.
- Handle mail, correspondence, and maintain filing systems.
- Facility Compliance:
- Ensure compliance with healthcare regulations and facility policies.
- Assist in preparing for inspections or audits as needed.
- Other Duties:
- Perform other related administrative tasks as assigned by supervisors or management.
- Medical Record support as needed.
- Social Service support as needed.
Working Conditions
- May be required to work weekends, or holidays, depending on the facility’s needs.
- Must be able to sit or stand for extended periods and handle occasional physical tasks like lifting light office supplies or files.
Qualifications

Education/Experience
- High school diploma or equivalent (Associate’s degree or certificate in healthcare administration preferred).
- Previous experience in a healthcare setting, particularly in administrative roles.
- Strong organizational and multitasking abilities.
- Good communication skills and the ability to work with diverse individuals.
- Knowledge of medical terminology is a plus.
- Attention to detail and accuracy.
Computer Skills
Proficient in computer programs (e.g., Microsoft Office, electronic health records systems).
Physical Demands
While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee frequently is required to stand, walk, sit, and taste or smell. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl; push and pull.
