Key Responsibilities:
Recruiting Support:
- Recruitment Coordination:
- Write and post job descriptions on job boards, career pages, and social media platforms as directed by lead
- Assist with interview scheduling and follow-up communication with candidates
- Manage the candidate experience and ensure a smooth and engaging hiring process
- Prepare all KPI’s to deliver daily/weekly to the leadership team
- Onboarding:
- Assist with the onboarding process, including conducting orientation sessions and providing new hires with necessary documentation
- Ensure all compliance and legal documents are completed by new contractors
- Sales Coordination:
- Assist the sales team in lead generation, prospecting, and customer follow-up
- Prepare and distribute sales materials, and contracts
- Prepare KPI data on sales performance and provide regular updates to the leadership team
- Maintain CRM systems to ensure accurate tracking of leads, contacts, and sales activities
- Client Communication:
- Act as a liaison between sales team members and clients to ensure excellent customer service and prompt resolution of issues
- Coordinate meetings and follow up on action items from client discussions
- Administrative Support:
- Manage company calendars, scheduling meetings, and coordinating internal and external events
- Organize team meetings, retreats, and company-wide events
- Handle company communications and assist in maintaining internal documentation, systems, and databases
- Manage company travel for Sales, Recruitment and leadership team
- Project Management:
- Assist in coordinating cross-departmental projects and initiatives to ensure timely execution
- Support the leadership team with day-to-day administrative tasks, reporting, and follow-up activities
- General Office Operations:
- Ensure smooth office operations and work with external vendors to manage office supplies, technology, and other logistics
- Coordinate travel arrangements and accommodations for team members as needed
- Integration Coordination:
- Maintain new systems and processes
- Update and deliver a P&L sheet to leadership
- Education:
- Bachelor's degree in Business Administration, Human Resources, Sales, or a related field is preferred
- Experience:
- 2 years of experience in recruiting, sales support, or office coordination
- Familiarity with recruitment platforms, CRM systems (Salesforce, JazzHR, etc.), and basic office software (Microsoft Office Suite, Google Workspace)
- Skills:
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Proficient in MS Office, Google Workspace, and various recruiting and sales tools
- Ability to work independently and manage multiple tasks in a fast-paced environment
- A proactive and problem-solving attitude with a focus on providing excellent service to both internal teams and external clients
- Preferred:
- Prior experience in coordinating or assisting in sales activities
- Experience with onboarding and recruiting best practices
- Detail-Oriented: Ability to keep track of many moving parts and stay organized
- Team Player: Able to work collaboratively across various teams, including HR, sales, and administration
- Adaptable: Passionate about working in a start-up environment that is evolving and very dynamic
- Customer-Focused: Passion for delivering great service both internally to contractors and externally to clients
