The Guest Services Assistant serves as the first point of contact for guests, providing exceptional customer service and ensuring a welcoming museum experience.

In 2023, the Museum reopened following a four-year renovation that expanded the building and grounds. Designed by the renowned architecture firm Studio Gang, the facility includes landscaped grounds by the firm SCAPE and secures AMFA’s position as one of the top cultural institutions in the region. The building includes state-of-the-art galleries, an art school, restaurant, store, theater, lecture hall, and other programming and event spaces. AMFA is an active partner in the educational, economic, and cultural life of a diverse community, inviting discovery, creativity and learning through engagement with the visual and performing arts.

The Guest Services Assistant serves as the first point of contact for guests, providing exceptional customer service and ensuring a welcoming museum experience. Responsibilities include greeting and assisting guests, processing admissions for theatrical performances and special events, handling program and class registrations, and managing ticket sales and reservations.

The role requires enthusiasm, strong communication and problem-solving skills, proficiency in point-of-sale systems, and the ability to work efficiently in a fast-paced environment. Ideal candidates will have a passion for the arts, excellent interpersonal skills, and a commitment to enhancing visitor engagement.

Must be available to work at least two nights a week and some Saturdays. The job offers 12-20 hours per week.

Key Responsibilities

  • Greet all AMFA guests in a warm, hospitable manner, smiling, making eye contact, and acknowledging them verbally.
  • Answer questions and proactively provide information to guests about daily activities and special events. Keep up to date with current events on-site.
  • Learn and maintain proficiency with the ticketing software program (Tessitura), N-Scan ticket scanners, and tablets used for ticketing and tracking of guest information.
  • Assist in daily set-up, closing, organization, and cleanliness of all Guest Services locations and ensure that all materials and information displayed are current and well stocked.
  • Actively promote and sell membership.
  • Offer concierge-like services for guests interested in other Little Rock attractions and venues.
  • Assist with Guest Services oriented tasks during special events, exhibition previews and at other times as assigned.
  • Attend all necessary staff meetings and communicate concerns as well as solutions to problems.

Desk Host Responsibilities

  • Utilize customer service skills by checking in Museum guests in a friendly manner.
  • Accurately and efficiently conduct transactions for Museum admissions, programs, class registrations, theater performances, events, and membership sales and renewals.
  • Become knowledgeable in class offerings at the Windgate Art School.
  • Manage and reconcile cash drawer and credit card transactions in a fast-paced environment.
  • Ensure that guests are oriented and well informed about their Museum visit.

Theater Usher Responsibilities

  • Examine and scan theater tickets to verify authenticity and direct patrons to correct seats.
  • Orient guests with the performance venue entrances and exits.
  • Remain at assigned post throughout the performance and monitor to ensure guests are in compliance with performance rules and regulations.

Qualifications, Knowledge, Skills, and Abilities

  • Prior experience and/or training in a customer service-oriented field preferred.
  • Prior experience with Tessitura preferred.
  • Ability to be punctual and adhere to scheduled hours.
  • Ability to remain calm, patient, and professional when handling guest concerns.
  • Ability to work collaboratively with others and use good judgment.
  • Ability to work a flexible schedule including nights, weekends, holidays and mandatory overtime.
  • Ability to read written materials and procedures.
  • Must possess strong interpersonal and communication skills for interacting with guests and colleagues.
  • Proficient in Microsoft Office Suite

Working Conditions and Physical Requirements

  • Physical demands:
    • Regularly stand and/or walk for prolonged periods of time (up to 5 hours at a time)
    • Regularly sit for prolonged periods of time (up to 5 hours at a time).
    • Occasionally bend, lean, push, pull, stoop, and crawl.
    • Occasionally lift up to 25 lbs.
  • Communication demands:
    • Regularly required to use speech to interact with public.
  • Vision demands:
    • Regular use of visual acuity to perform work on a computer monitor, review written materials, and observe large crowds.
  • Work environment/exposure:
    • Most work is performed inside the Museum building.
    • Occasionally, but temporarily, exposed to outside weather conditions.
    • Occasionally exposed to noise levels up to eighty-five decibels.
