We are seeking an experienced Executive Assistant to provide dedicated, high-level support to the Chairman of the Board of an exclusive global leadership community.

As Executive Assistant, this individual will play a critical role in supporting the Chairman of the New Jersey Board. This individual will serve as a key partner to the Chairman, managing a wide variety of administrative tasks and ensuring the smooth operation of board activities. The ideal candidate will have exceptional organizational skills, a proactive attitude, and the ability to maintain confidentiality in a fast-paced environment.


** This is a fully remote role with local travel to events throughout NJ as needed! **


RESPONSIBILITIES -

  • Provide high-level administrative support to the Chairman, including calendar management, email correspondence, travel coordination, and expense management.
  • Schedule and coordinate board meetings, ensure timely distribution of meeting agendas and materials, and handle logistical arrangements. Take detailed meeting notes and follow up on action items.
  • Serve as the primary point of contact for internal and external stakeholders, ensuring smooth communication between the Chairman and various board members, staff, and other stakeholders.
  • Assist in planning and executing board events, meetings, and special functions, ensuring all logistical details are handled smoothly.
  • Draft, proofread, and edit correspondence, presentations, and other documents as needed. Maintain and organize files and records related to the Chairman’s activities.
  • Travel locally to events within New Jersey to provide on-site support. Ensure event setup is completed before the event begins and handle any last-minute details (All events are throughout New Jersey with no overnight travel required).


REQUIREMENTS -

  • Proven experience as an Executive Assistant or in high-level event planning, supporting senior executives.
  • Exceptional organizational skills with the ability to handle multiple priorities and meet tight deadlines.
  • Strong communication skills, with the ability to interact effectively with high-level executives, board members, and external parties.
  • Ability to handle confidential information with discretion and professionalism.
  • Proficiency in calendar management, event planning, and vendor coordination.
  • A strong sense of professionalism and an understanding of the demands and expectations of senior executives.
  • Willingness to travel within New Jersey for events (approximately 20 events per year).
  • Ability to work in a remote setting.

Salary : $80,000 - $93,000
