We are looking for a highly organized, detail-oriented, and proactive Executive Assistant to provide critical support to the CFO of a reputable Healthcare Firm in Queens NY

The ideal candidate has 3 years of experience in a professional with a background in executive support, administrative operations, and real estate. The successful candidate will excel in multitasking, communication, and organizational skills, while demonstrating the ability to work independently in a fast-paced, dynamic environment.

The position is paying up to $100K and the company wants to hire ASAP.

Responsibilities

Owners Support

  • Organize and manage multiple conference calls and complex scheduling through Outlook.
  • Screen and respond to calls, voicemails, and correspondence.
  • Maintain and update calendars with precision, ensuring seamless scheduling of meetings and appointments.
  • Track and manage CRM data, including meetings, contacts, and relationship updates.
  • Draft, edit, and proofread documents such as memos, emails, and letters.
  • Handle and organize incoming documents requiring Owners' signatures.
  • Coordinate personal and corporate charitable responsibilities, including board memberships.
  • Reconcile credit card statements, prepare expense reports, and manage family-related schedules.
  • Oversee records for company vehicles, EZ Pass accounts, and related insurance documents.

CFO Support

  • Schedule and organize meetings and conference calls for effective communication.
  • Draft, edit, and proofread business documents with a high level of accuracy.
  • Maintain strong relationships with banking and mortgage brokers.
  • Assist with family banking processes and ensure organized filing systems.
  • Office Support

  • Monitor security systems, door protocols, and overnight messages.
  • Plan and execute employee engagement activities.
  • Coordinate holiday cards and gifts distribution.
  • PR / Marketing Support

  • Maintain and manage conference room schedules.
  • Organize and track agreements, leases, contracts, and memberships.
  • Collaborate on PR initiatives, including press releases, event planning, and media coordination.
  • Update the company website with relevant press releases and development details.
  • Qualifications

  • Bachelor’s degree or equivalent experience required.
  • At least 3–5 years of executive assistant experience, preferably in commercial real estate, legal, or finance.
  • Proficient in Microsoft Office Suite (Outlook, Excel, and Word).
  • Exceptional verbal and written communication skills.
  • Outstanding organizational skills with attention to detail and the ability to multitask effectively.
  • Self-motivated and capable of exercising sound judgment while working independently.
