Job Summary:
The Office Assistant will be responsible for being the face of the leasing office including greeting visitors, answering phone calls, responding to written correspondence, and performing general office tasks.
Supervisory Responsibilities:
- No supervisory responsibilities.
Duties/Responsibilities:
- Graciously receive the public, including residents.
- Answer telephones promptly, with a friendly, but professional voice and style.
- Handle verbal and written correspondence.
- Prepare and deliver late payment notices and other notices to residents.
- Take service requests and other resident requests.
- Cooperate, but do not interfere, with activities of resident organizations.
- Receive and send facsimiles.
- Make copies as needed or requested.
- File paperwork in an orderly manner.
- Perform general office tasks.
- Maintain appointment and event schedules.
- Distribute mail to staff and notify residents of packages received at the rental office.
- Direct complaints to the appropriate party.
- Set up and take down decorations for special occasions.
- Clean and sanitize kitchen and office areas if requested.
- Keep office and storage areas well organized, neat, clean, safe, and sanitary at all times.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Excellent organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Comfortable with typing and navigating a computer including internet browsers.
- Proficient with Microsoft Office Suite, OneSite, and other related software.
Education and Experience:
- Requires high school diploma or equivalent.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 25 pounds at times.
