Med Spa & Salon
Position Overview:
As the first and last point of contact for our clients, the front desk team plays a key role in delivering a welcoming, professional, and seamless experience. You are the face of our brand and set the tone for every visit.
Client Experience:
- Greet clients warmly and check them in for their appointments
- Ensure a smooth and positive client flow from check-in to check-out
- Answer phones and respond to inquiries with professionalism and a friendly tone
- Assist with scheduling, rescheduling, and confirming appointments
- Educate clients on available treatments, promotions, and retail products
Administrative Duties:
- Maintain accurate and up-to-date client records in our booking system (Vagaro and Aesthetic Record)
- Process payments and handle daily cash reconciliation
- Manage daily appointment logs and communicate updates to providers
- Keep front desk and reception area clean, organized, and stocked with necessary forms and supplies
Support Tasks:
- Handle laundry for both the med spa and salon, ensuring clean towels and linens are always available
- Restock treatment rooms and salon stations as needed
- Help maintain a clean and welcoming environment throughout the facility
Communication & Teamwork:
- Communicate clearly with aestheticians, nurses, and stylists to ensure scheduling accuracy
- Support providers by preparing charts and noting any client requests or concerns
- Relay important messages and updates between team members as needed
Expectations:
- Professional Appearance & Demeanor: You represent the brand—professional attire (Black scrubs), excellent hygiene, and a warm personality are essential.
- Reliability & Punctuality: Consistency is key. We depend on you to be on time and dependable.
- Multi-tasking & Organization: You’ll often juggle phone calls, client check-ins, laundry, and administrative tasks—being organized and calm under pressure is important.
- Discretion: You’ll handle sensitive client information and need to maintain confidentiality at all times.
- Sales Support: While not a hard sales role, you should feel comfortable recommending products, gift cards, and services when appropriate.
Skills
- Previous experience as a clerk or medical receptionist is preferred but not mandatory.
- Strong administrative skills with proficiency in office management practices.
- Excellent typing skills with attention to detail for data entry tasks.
- Proficient in computer literacy with the ability to quickly learn new software applications.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Effective communication skills, both verbal and written, to interact professionally with clients and team members.
- Familiarity with calendar management tools is a plus.
