Description

SUMMARY:

Responsible for properly performing all payroll duties in accordance with established policies, procedures and controls. Responsible for assisting in the administration of the property's group insurance benefit programs. Records and maintains all work related injuries for employees and guests and for OSHA record keeping logs.

 

ESSENTIAL DUTIES: The following is a list of the main duties/responsibilities. Other duties may be assigned as deemed necessary by your supervisor/manager.

 

  1. Maintains the strictest level of confidence within the department, ensuring that the individual payroll amounts of each individual employee remain private and confidential.
  2. Copies and distributes all applicable payroll reports.
  3. Files and maintains all departmental timesaver reports.
  4. Posts information pertaining to hours worked, deductions, paid time off, benefits, gratuities and direct deposits into the computer in a timely, accurate manner.
  5. Ensures the integrity of all financial data produced in payroll.
  6. Handles limited banking functions pertaining to payroll and is responsible for all manual check copies and employee lists.
  7. Compiles statistical data for reporting purposes. Inputs all voided checks.
  8. Assists Accountants in the preparation of quarterly and annual tax returns and W-2 forms.
  9. Conducts the necessary research to effectively resolve payroll disputes from Employees. Calculates and verifies payroll adjustments.
  10. Maintains all files in the payroll department.
  11. Held accountable, to a high degree, for the accuracy, confidentiality, and thoroughness of departmental records and reports.
  12. Encourages mutual respect, dignity and integrity with all employees, by setting positive examples at all times.
  1. Processes and maintains benefit and workers compensation forms/files.
  2. Maintains logs of all reported employee injuries regardless of compensable means.
  3. Attends and presents workers' compensation and safety report at safety meetings.
  4. Assists with the benefits enrollment meetings, assisting all team members with benefit questions
  5. Monitors and tracks all leave of absence including FMLA, Personal Leave and Military Leaves. Manages LOA tracking by calculating premium amounts and corresponds with employees on leave, informing them when their benefits premiums are due. Enters information daily, stays on top of expiration of certifications, and works closely with HR Manager to determine additional needs for leave time.
  6. Monitors the COBRA/HIPPA process by data entry into COBRA program and monitor reports.
  7. Creates termination list for payroll, provider and monthly billing reports. (transfer, rehire, part-time, and term employees). Enters information daily maintains accuracy and stays up to date.
  8. Sends letters to employees informing them of status changes that affect benefit eligibility and educates employees about the enrollment process when applicable.
  9. Reconciles premium reports.
  10. Maintains the confidentiality of applicant, employee and departmental information.

 

SUPERVISORY RESPONSIBILITIES:

This position has no supervisory responsibilities.

Qualifications


QUALIFICATIONS:

Must possess effective communication and organizational skills. Must be extremely numbers-oriented and computer-literate, with superior spreadsheet skills and a proficiency in an accounting software system a benefit. 
 

EDUCATION/EXPERIENCE:

High school diploma or general education degree (GED) required. Some college courses, preferably in accounting, or the equivalent in work experience.

LANGUAGE SKILLS:

Ability to read, analyze, and interpret the most complex of documents, such as technical journals, financial reports and legal documents.  Ability to respond to common inquiries or complaints from team members, guests, and regulatory agencies. Ability to effectively present information to team members, managers and top management.

 

REASONING ABILITY:

Ability to define problems collects data, establish facts, and draw valid conclusions.  Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

 

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals and work with mathematical concepts. Ability to compute rate, ratio and percent, and to interpret data from graphs.

 

OTHER SKILLS AND ABILITIES:

Ability to define problems, collect data, establishes facts, basic analytical problem solving, and deductive reasoning ability. Also, must have superior interpersonal relations skills to deal with the public and outside entities. Ability to see problems and avoid situations that could be deemed illegal or represent a safety hazard to fellow employees or customers. Must be able to listen to and assist employees and/or customers in finding solutions to problems or concerns.

While performing the duties of this job, the employee is regularly required to talk or listen. Occasionally required to stand, walk, use hands, handle or feel objects, and reach with hands and arms. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
