Position SummaryThe Program Manager of Community-Based Services is responsible for overseeing the daily operations, personnel management, and service delivery of TBMHC’s Case Management and related community-based programs. This role ensures that all services provided align with agency values, meet clinical and regulatory standards, and effectively support the diverse needs of our clients. The Program Manager provides direct supervision, coaching, and administrative oversight of case managers and related staff while collaborating with clinical leadership to ensure quality care.
Key Responsibilities
Program Operations & Oversight- Monitor and manage case managers’ workloads, client contact frequency, documentation completion, and service effectiveness.
- Ensure compliance with agency protocols, Medicaid/insurance guidelines, and local/state regulations.
- Implement quality assurance initiatives and participate in audits and accreditation preparation.
- Collaborate with other departments (clinical, admin, billing) to streamline service delivery.
- Provide ongoing administrative supervision, coaching, and mentorship to case management staff.
- Conduct regular performance evaluations, issue verbal and written warnings, and develop Performance Improvement Plans (PIPs).
- Recommend hiring, promotion, or disciplinary actions to senior leadership. Final adverse actions require approval from the Clinical Director or Practice Manager.
- Facilitate onboarding and orientation for new case managers, including documentation and technology systems training.
Leadership & Collaboration
- Work closely with the Clinical Supervisor Trainee to align operational decisions with clinical standards and elevate complex concerns when needed.
- Participate in regular leadership meetings to assess departmental performance, identify growth opportunities, and strategize improvements.
- Act as the lead point of contact for questions or concerns from internal staff, clients, and community partners regarding community-based services.
- Identify training needs within the department and schedule or deliver training sessions on best practices, documentation standards, and client engagement techniques.
- Ensure new case managers attend weekly clinical supervision during their first 90 days and monthly thereafter.
- Represent TBMHC in community coalitions, events, and outreach efforts.
- Assist with networking and marketing strategies to increase referrals and promote awareness of TBMHC’s community-based programs.
- Masters degree in Social Work, Psychology, Counseling, or a related human services field (required).
- Licensed Social Worker (LSW) or Licensed Professional Counselor (LPC) in the state of Ohio (strongly preferred).
- Minimum of 3 years of experience in mental health, community-based care, or case management.
- At least 1 year of leadership or supervisory experience in a healthcare or social services setting.
- Familiarity with Medicaid documentation, electronic health records, and behavioral health protocols.
- Strong interpersonal, organizational, and communication skills.
- Demonstrated ability to lead a team, solve problems, and drive performance in a fast-paced environment.
- Position requires a blend of in-office and field work.
- Flexibility in scheduling may be needed to support staff or respond to client or program needs.
- Must maintain confidentiality and uphold ethical standards in alignment with TBMHC's mission.
Salary : $55,000 - $70,000
