Job Description
Position Title: Customer Service Representative
Supervisor Title: Owner
Position Description
The customer service representative is responsible for providing office administration and superior customer service customers throughout the repair process.
Essential Duties
The essential duties of this position are:
· Create estimates using computerized estimating system
· Answer incoming phone calls and retrieve and distribute voice mail messages.
· Provide customer communication throughout the repair process using phone, email, or text messaging
· Use phone to follow-up with all potential customers to schedule repairs
· Schedule customer appointments and rental cars
· Verify that delivered parts orders are complete and match vehicle repair order
· Follow up with parts vendors on parts ordered, parts received, returns and credits, back orders, etc.
· Update various shop management software programs
· Maintain office material inventories and submits orders with approved vendors as required
· Follow up with insurance companies on supplement approvals and update status in management system software
· Perform bookkeeping tasks such as posting payments, posting payments received and generating final invoices
· Maintain office filing system
· Keep work area clean and organized
· Keep shop equipment clean and in good working condition
· Follow and comply with all standard operating procedures
· Assist in developing or refining standard operating procedures as required
· Follow and comply with all required health and safety requirements
· Maintains acceptable appearance
· Complies with and follows all scheduled work hours and attendance policies
· Complies with the business code of conduct and other policies
· Understand and carry out oral and written directions
Knowledge and Skills
The following knowledge and skills are required for this position:
· Skilled in collision damage analysis and estimating
· Minimum of two years of customer service experience
· Skilled in communicating with customers, vendors, suppliers, and insurers
· Skilled in basic computer data-entry, Microsoft office and internet-based applications
· Demonstrated computer/software proficiency.
· Excellent communication skills
· Ability to relate well to a diverse customer base.
· Demonstrated organization and detail skills
· Ability to effectively manage multiple tasks simultaneously and independently in a fast-paced work environment.
Training and Certifications
The following are suggested education and training requirements for this position:
· Valid drivers license
Work Experience
Three to five years prior work experience preferred but not required
Supervisory Responsibilities
This position has no supervisory responsibility
Job Type: Full-time
Pay: From $25.00 per hour
Expected hours: No more than 40 per week
