How your role fits into Boldt:
As the Travel & Event Specialist, you will oversee the planning, coordination, and execution of corporate travel (85% of the role) and events (15% of the role). This role involves managing travel logistics, negotiating with vendors, and ensuring compliance with company policies. You will also be responsible for organizing events, ensuring they run smoothly and meet organizational goals. Additionally, you will work closely with various departments to understand their travel and event needs, providing exceptional service and support.
What you get to do:
- Coordinate employee travel (flight reservations, hotel reservations, and car rentals, etc.) utilizing the organization’s preferred travel vendor and online booking tool. This includes routine business travel, long-term project travel, spousal/family/guest travel as appropriate, conference attendance, candidate interview travel, and relocation.
- Organize group and/or event travel to include strategic planning sessions, annual regional employee appreciation events, and training events.
- Support employee travel needs while traveling, including after-hours and weekend emergencies.
- Manage travel credit cards and direct bills, including approvals, requests for invoice payments, and reconciliations.
- Maintain, and regularly evaluate the organization’s travel policy; making recommendations and updates as needed to include communication roll-out and resource updates.
- Identify, promote, and maintain traveler discount and reward programs.
- Develop, and maintain relationships with the organization’s preferred travel vendor, online booking tool, and other third-party travel vendors.
- Negotiate hotel room agreements and other vendor contracts as determined by business needs.
- Assist with the creation and maintenance of Concur traveler profiles and provide employee usage training.
- Collaborate with both enterprise support groups and operating groups to build out annual travel plans and travel budgets.
- Maintain the travel page on the company intranet site.
- Lead or support event planning and coordination for such events as Employee Appreciation Events, Strategic Planning retreats, and the annual United Way campaign. This could include any or all of the following:
- Identify the needs and expectations for each event, planning event details (location, schedule, food and beverage services, and audio/visual requirements)
- Negotiate contracts with vendors and venues
- Collaborate with various departments to align the event with the company’s branding and marketing strategies
- Supervising the set-up, execution, and tear-down of each event
- Managing event budgets to avoid overspending
- Creating post-event evaluations to gather feedback and analyze data to measure event success
- Ensuring compliance with insurance, legal, health, and safety obligations
What we expect from you:
- A Bachelor’s degree is required. An equivalent combination of education, training and/or experience may be considered in lieu of a degree.
- At least four years administrative support experience is required, preferably including travel and event oversight.
- Previous experience with travel software highly preferred (i.e. Concur).
- Proficient with Microsoft Office Suite.
- Relationship-driven and ability to establish rapport quickly.
- Excellent organizational and multi-tasking skills.
- Ability to work independently and apply strong problem-solving skills.
- Strong attention to detail.
- Up to 20% travel.
- A valid driver’s license may be required. Individuals in this role may be subject to an annual Motor Vehicle Records check. The outcome of any MVR checks conducted may negatively impact the persons’ ability to participate in any vehicle program provided by the company, including but not limited to the ability to drive a personal vehicle on behalf of The Boldt Company or rent a vehicle through for business travel purposes.
Physical requirements and working conditions:
While performing the duties of this job, the employee is frequently required to remain in a stationary position for up to eight hours. The employee occasionally is required to move to access people or workspaces. Constantly operates a computer and other office equipment, such as a calculator, copy machine and computer printer. The ability to optimally communicate is required. The employee may occasionally move up to 15 pounds.
The working condition of this position requires the employee to work inside an office environment. The environment for which this position functions may contain scents and fragrances. May be requested to work overtime and weekends.

The anticipated salary range for this position is $79,850 - $103,316 per year. This range represents what The Boldt Company reasonably expects to pay for this position. Actual compensation offered will be dependent upon numerous job-related factors, including but not limited to: candidate qualifications, skills, experience, education, location, alignment with market data and internal equity as well as other business and organizational needs. Our expectation is that the incumbent will work at our Appleton, WI office. If the incumbent works out of a different location, the anticipated salary range is subject to change.
