Schedule/shifts will vary

Hiring full time. Should be willing and able to work 11AM-7PM and 3PM-11PM Schedule will vary. Holidays and weekends may be required.

  • Summary of the main function/purpose of the position:

Serve as the first impression of The Breakers. Agent is responsible for creating relationships between the operations and our guests and owners.

  • Key Principal duties/responsibilities:
  • Be familiar with daily arrival and departure pattern. Assist all guests and owners with check in and check out. Create arrival and departure paperwork as needed as well as on a daily basis.
  • Understand the functions of all programs used by front desk staff and keep aware of any changes or additions to programs.
  • Be familiar with amenities, services offered, including associated fees, policies and other pertinent information.
  • Answer all incoming phone calls. Assist callers or transfer to department or manager that would be able to assist with the caller’s needs/inquiry.
  • Assist guests with rate quotes and making reservations when sales/reservations agent is unavailable.
  • Handle both credit cards and cash transactions; maintain an accurate cash drawer daily. Turn in any receipts and exchange all large bills to Guest Service Manager to keep drawer at correct levels. Make sure all credit card receipts are signed by guests and turned into the night auditor for record-keeping.
  • Be familiar with condo locations. Know specific logistics of west and center buildings as well dumpsters, trash chutes, tennis court or any other on-property locations of interest.
  • Communicate clearly and precisely all guest concerns, requests or special requirements in a timely manner to ensure guest satisfaction (if unable to assist directly) to the guest services manager.
  • Communicate all employee concerns and requests in a timely manner to ensure a comfortable work environment to the front desk supervisor or rental manager.
  • Register vendors/contractors by having appropriate forms completed and issue keys to areas as required. Direct contractors to the appropriate service elevators for any deliveries.
  • Responsible for receiving, sorting and delivering operations mail and packages to the appropriate person or department. Responsible for contacting owners or guests that have received packages.
  • Be familiar with emergency key entry, non-rental key locations and additional bedroom key locations to assist with guest needs.
  • Contributes to team effort by accomplishing related results as needed

Occasional duties or projects which may be performed at irregular intervals:

  • Light filing and stocking of supplies needed by front desk.
  • Assisting guests that stop by after other departments have closed for the day- i.e. keeping toilet paper, trash bags, etc. on hand for guests.
  • Any additional projects assigned by supervisor or manager.

III. Accountability - Areas in which the position is accountable/responsible:

  • Records: Maintain guest records and keep all information confidential and accurate with any changes requested by the guest(s).
  • Keys: Maintain accurate count and log of keys issued to guests, owners, contractors. Report any missing keys to Front Desk Supervisor or Rental Manager.
  • Safety: Ensure safety signs are placed in proper areas when needed. Report any safety concerns to the appropriate manager.
  • Customer Service: Greet guests in a timely manner. Within 10 feet make eye contact and within 5 feet greet guest/owner. Ensure guests concerns and questions are addressed in a timely manner.

  • Educational and/or equivalence in experience requirements:

High school diploma or equivalent required

Specialized or technical educational requirements:

  • Experience with Streamline VRS preferred; general experience with typing and basic computer software.
  • Proven problem solver and self-motivated
  • Ability to read, analyze and interpret general business information
  • Ability to multi-task and enhanced attention to detail.
  • Ability to effectively present information and professionally respond to questions.
