- Purpose of the Job:
The Receptionist will oversee the general administrative functions and duties of the office. The Receptionist must be dependable, trustworthy, detail oriented, efficient, and highly organized with the ability to work under pressure and multi-task in a fast-paced environment.
- Primary Duties and Responsibilities:
The Receptionist will be responsible for the productivity and efficiency of the office and tasked with maintaining a professional and welcoming environment for all guests, clients, and staff.
Specific duties include:
- Answering and transferring phone calls.
- Checking the mail regularly, ensuring the proper distribution of documents and packages within the office and processing outgoing deliveries via FedEx for time sensitive documents such as bonds and invoices.
- Creating contract binders, compiling bi-weekly PEX reports and handling other administrative projects as assigned by leadership.
- Handling office operations including, but not limited to: ordering office supplies; scheduling office maintenance requests; processing invoices; maintaining databases; maintaining phone lists; handling the pre-employment and onboarding process for new hires.
- Assist with our internship program, both setup and administration.
- Ordering supplies for jobsite trailers as well as safety equipment for team members.
- Preparing and delivering reports.
- Maintaining the conference room schedules.
- Handling of food orders and presentation supplies for office business meetings.
- Providing support for assets such as cell phones, iPads & other IT equipment.
- Assist with maintaining/updating PowerPoint presentations.
- Download and organize monthly aerial photos of projects.
- Knowledge & Skills:
The ideal candidate is self-motivated and able to work independently with an excellent sense of personal accountability, has excellent interpersonal skills and the ability to work well in a team environment and as an individual. This position requires extensive interaction with general contractors, subcontractors, vendors, consultants, clients, and operational personnel. The Receptionist is a key representative of the company and is expected to work well with others and exhibit a professional and courteous demeanor at all times.

- Ability to manage unexpected challenges with a calm and professional demeanor.
- Qualifications:
- Proficient in Outlook, Word, PowerPoint, and Excel
- Extensive knowledge of office management procedures
- Knowledge of Bluebeam preferred.
- Experience with Microsoft Teams preferred.
- Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 25 pounds at times (office supplies and blueprints)
