The entire staff of Atlantic Marina team (a “fun division of The Brick Companies) is committed to creating a WOW! experience for our guests, vendors and co-workers. This position reports directly to the Facility Manager(s) and provides general Marina support at our Patapsco and Ferry Point locatoins with a variety of clerical activities and related tasks. Incumbent will be responsible for answering incoming calls, greeting visitors, flow of correspondence, requisition of supplies as well as additional clerical duties.

Requirements:


  • Answer incoming telephone calls and address customer inquiries; provides information to current and prospective customers.
  • Greets walk-in visitors/customers in a courteous, professional manner.
  • Prepares contracts when necessary for all new customers and renewals.
  • Maintains customer files; includes initial set-up and making sure proper forms are completed and payments are received (i.e. registration, insurance information, etc.).
  • Maintains customer accounts; post transactions, tracks past due accounts, prepares “Red Tag List”, processes “house charges”.
  • Reports bi-weekly payroll information to the People Department after Facility Manager approval.
  • Directs incoming bills to the Finance Associate after Facility Manager approval.
  • Responsible for posting and making daily bank and credit card deposits in QuickBooks.
  • Schedule boat hauling, launching, loading and unloading, etc.
  • Contacts outside vendors to schedule/request parts, services, supplies, equipment maintenance, fuel delivery, etc.
  • Responsible for maintaining the daily gas log book, reconciling all dock help gas sheets, posting readings to ledgers, daily settlement and monthly reconciliation.
  • Responsible for maintenance and reconciliation of petty cash.
  • Responsible for having current insurance certificates on file for all outside contractors and for maintaining the certificate logbook.
  • Assists in the ordering and receiving of office supplies.
  • Ensures that the vending/soda machines are filled and place orders to replenish items as necessary.
  • Responsible for sales and inventory in the Ship’s Store
  • Responsible for office appearance to include counters, desks, floors, doors, windows, restroom, kitchen area and Ship’s Store.
  • Other related duties as assigned by the Facility Manager(s).
