The Bruery goes to market in four distinct channels; On-line DTC, Tasting Rooms, Washington D.C. store, and Wholesale distribution.
About the Role
As the Administrative Coordinator reporting directly to the Operations Specialist, you are the first point of contact to our employees, guests, and service providers. We seek a poised, polished and confident person in their appearance and verbal acumen. We look for someone who can be a role model of positive attitude focused on contributing to the success of our business. This person will be provided with challenging assignments regularly, and the opportunity to use strengths and stretch capabilities. For this unique and vital role, we seek someone with demonstrated experience in wearing many hats by coordinating day-to-day office operations while also supporting various administrative and sales operational needs.
Primary Responsibilities
Administrative Duties
Greet clients, vendors and employees visiting the administrative office
Meet with vendors and guests for building maintenance and appointments
Maintain office common spaces (office kitchen, employee lounge, bathrooms) for cleanliness and stock items as needed by submitting weekly office supplies request
Troubleshoot minor facility and technology issues and handle minor fixes
Support calendar/scheduling functions for the Leadership Team and Managers as needed
Assist with onboarding and exiting administrative needs (candidate travel coordination, onsite experience, scheduling meetings and interviews, new hire documents, and office/desk preparation)
Coordinate sample shipments with warehouse and stock the Conference Room PR shelf and fridge
Receive/sort daily mail, packages and distribute to the appropriate departments and contacts
Research and compile data for creating reports, presentations and responses to various requests
Communicate Production deliveries with Production Team, call for forklifts as needed
Help the Accounting Team organize and scan monthly expense receipts
Maintain company-wide directories
Assist with company-wide events (i.e. quarterly huddles, summits, offsite meetings) and event coordination support as assigned for internal and external events
Provide excellent customer service for general Bruery inquiries for visitors and phone inquiries
Ad hoc administrative duties such as filing, making copies, data entry, courier duties, and announcing company wide communications (ie. birthdays, meeting invitations, facilities updates, etc.) as assigned
Sales Support Duties
Fill out New Item Forms for distributors, ensuring that all new product forms are submitted prior to release
Update the VIP Item Catalog with new sales/distro release beers, ensuring accurate product information is updated into the catalog. Continuously go through to maintain and update for seasonality/current availability. Submit email requests to also have newly added items in Karma.
Submit Nielsen images for distro beers
Work with Sales Team to confirm which Distribution level beers will hit certain states, and register beers on the state website accordingly
Essential Skills and Requirements:
Minimum 2 years experience in an administrative role
Independent judgment and ability to multitask various tasks and priorities, often juggling several projects simultaneously
Excellent organizational and communication skills, both written and verbal
Demonstrated ability to maintain confidential information
Proficiency in Microsoft Office and Google Suite programs is required
Familiarity with Mac and Windows based operating systems
