Overview
We are seeking a highly organized and detail-oriented Event Coordinator to plan, execute, and manage a variety of events in Kentucky. The ideal candidate will have exceptional organizational skills, a strong ability to manage multiple tasks simultaneously, and a passion for creating memorable experiences. This role requires a proactive individual with excellent communication skills who can work collaboratively with clients, vendors, and team members to ensure the successful execution of events.
Key Responsibilities:
Event Planning and Coordination:
- Plan and execute events, including corporate functions, weddings, social gatherings, and community events.
- Develop event concepts, themes, and schedules in collaboration with clients and stakeholders.
- Coordinate all aspects of event logistics, including venue selection, catering, entertainment, and transportation.
Client Management:
- Serve as the primary point of contact for clients throughout the event planning process.
- Understand clients’ needs and preferences, and provide recommendations to meet their expectations.
- Handle client inquiries, concerns, and special requests in a professional manner.
Vendor and Venue Management:
- Research, negotiate, and coordinate with vendors, including caterers, decorators, audio-visual providers, and rental companies.
- Conduct site visits and work with venue representatives to ensure the venue meets event requirements.
- Oversee vendor contracts and ensure services are delivered as agreed.
Budget Management:
- Develop and manage event budgets, including tracking expenses and ensuring adherence to financial constraints.
- Prepare and review financial reports, and provide recommendations for cost-saving measures.
- Handle invoicing and payments to vendors and service providers.
Event Execution:
- Supervise event setup and teardown, ensuring all elements are in place and functioning as intended.
- Manage on-site operations, including overseeing staff, coordinating logistics, and addressing any issues that arise.
- Ensure events run smoothly and on schedule, and make adjustments as needed to address unforeseen circumstances.
Marketing and Promotion:
- Assist in promoting events through various channels, including social media, email marketing, and local advertising.
- Create and distribute event materials, such as invitations, programs, and signage.
- Track and evaluate the success of events and gather feedback for continuous improvement.
Administrative Duties:
- Maintain detailed records of event planning processes, including contracts, budgets, and client communications.
- Prepare and present event proposals and progress reports to clients and management.
- Handle administrative tasks related to event planning, including scheduling meetings and coordinating with team members.

Qualifications:
- Proven experience as an Event Coordinator, Event Planner, or similar role.
- Strong organizational and multitasking skills with the ability to manage multiple events simultaneously.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Proficient in event management software and Microsoft Office Suite.
- Knowledge of event industry trends and best practices.
- Flexibility to work evenings, weekends, and holidays as needed for events.
Education and Experience:
- Bachelor’s degree in Event Management, Hospitality, Business Administration, or a related field preferred.
- Minimum of 3 years of experience in event coordination or planning.
- Experience with high-profile events or large-scale functions is a plus.
Job Type: Full-time
Pay: $18.01 - $19.27 per hour
