Position Summary
We are seeking a seasoned Executive Assistant to the Chief Financial Officer to provide right-hand strategic and administrative support. This role is ideal for someone who thrives in a fast-paced, high-performance environment and who understands the importance of confidentiality, discretion, and executive presence.
The EA to the CFO is not just an administrative partner but a strategic extension of the CFO’s office—anticipating needs, prioritizing what matters most, and enabling high-level execution. This individual will also collaborate closely with other senior leaders and teams.
Experience
- 5 years of experience as an Executive Assistant, with at least 2 years supporting a CFO.
- Strong financial acumen and familiarity with corporate finance environments.
- Proven experience coordinating large-scale travel and event planning.
- Demonstrated experience supporting board and stakeholder engagement, including preparing materials, coordinating meetings, managing communications, and executing timely follow-up on key action items with professionalism and discretion, and managing sensitive communications.
- Expert-level proficiency with Microsoft Office Suite, calendar/email management tools, and collaboration platforms.
Key Responsibilities
- Manage and prioritize the CFO’s calendar, ensuring alignment with business goals and strategic priorities.
- Manage the CFO’s inbox with discretion and judgment—triaging messages, drafting responses, flagging priorities, and ensuring timely follow-up on critical items.
- Serve as a liaison, maintaining fluid communication across internal teams, external partners, and stakeholders.
- Support the CFO in tracking critical initiatives, follow-ups, and key deadlines using project management software.
- Prepare executive briefings, reports, and presentations.
- Lead logistical planning and execution for the CFO’s annual conference, including vendor coordination, agenda development, attendee communications, travel arrangements, and on-site support to ensure a seamless experience.
- Maintain organized records, financial files, and digital systems relevant to the CFO's operations.
- Ensure proactive management of recurring reports and operational dashboards.
