Human Resources Assistant

Overview
Reporting directly to the Human Resources Manager, this position supports the vision and mission for The Cardiac and Vascular Institute. Expectations include but are not limited to, providing support to the HR Manager in recruiting, onboarding, orientation, time keeping, benefits, reports and day to day employee and management needs.
Key Responsibilities
- Schedule candidate interviews.
- Conduct interviews.
- Complete reference checks, background checks and verifications of employment for candidates.
- Assist with new hire orientation weekly.
- Complete verification of employment for previous employees.
- Send new hire information to IT prior to starting.
- Employee onboarding.
- Maintain employee files.
- Process new hires I-9 documentation in E-Verify.
- Enter new hires/terminations in McGriff site for COBRA.
- Review monthly benefit invoices for adjustments.
- Maintain reservations for east conference room.
- Maintain confidentiality of employee, management and company information.
- Place scrub orders for new hires, annual orders and physicians. Pick up physician scrubs from scrub store.
- Listen to employee concerns and communicate to HR Manager.
- Assist HR Manager with annual open enrollment.
- Assist HR Manager with planning of company meetings.
- Assist with planning provider/staff meetings and ordering catering.
- Assist HR Manager with day-to-day HR task and employee/management needs.
- Travel to Lake City and West office regularly (mileage provided for Lake City location)
Knowledge, Skills and Abilities
· Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Proficiency with computer systems and software, including Microsoft Office and Excel.
- Knowledge of HIPAA regulations and compliance.
- Ability to multi-task, prioritize, and manage time effectively.
- Willingness to learn and adapt to new technologies and processes.
- Effective verbal and written communication skills are necessary.
- Ability to work effectively in a fast-paced environment and to manage multiple deadline-driven tasks and projects.
Qualifications
- High School Diploma or equivalent GED
- Valid drivers license
- Experience in a clerical/administrative role
Preferred Qualifications
· 1 year of Human Resources experience
