JOB SUMMARY
The Senior Real Estate Administrative Assistant and Social Media Manager is responsible for ensuring organizational effectiveness by overseeing day-to-day operations, coordinating transactions, creating & posting effective and creative social media content, and assisting with marketing. The ideal candidate will possess a sense of urgency, be highly organized, and demonstrate 100% follow-through on all tasks. Communication skills are paramount in this role, as you will regularly interact with clients, colleagues, and vendors.
JOB RESPONSIBILITIES
- Proactive Support: Anticipate the needs of the real estate team and take proactive steps to assist in their daily activities.
- Task Management: Manage multiple tasks simultaneously, prioritizing based on urgency and importance, ensuring all deadlines are met.
- Sense of Urgency: Respond promptly to client inquiries, showing a commitment to timely follow-up and issue resolution.
- Organization: Maintain meticulously organized records of property listings, client information, contracts, and other relevant documents.
- Communication: Effectively communicate with clients, colleagues, and vendors via phone, email, and in-person meetings, ensuring clear and concise information is relayed.
- Follow-through: Demonstrate unwavering commitment to completing all tasks accurately and on time, with meticulous attention to detail.
- Critical Thinking: Analyze situations, identify potential challenges, and propose innovative solutions to support the success of the real estate team.
- Adaptability: Quickly adapt to changing priorities and work effectively under pressure to meet deadlines.
- Forward Thinking: Anticipate future requirements and obstacles, proactively addressing them to enhance efficiency and effectiveness within the real estate operation.
- Transaction Management: Assist with the creation and management of listing agreements, buyer agency agreements, purchase contracts, and manage timelines as they relate to each transaction & client.
- Events: Assist with preparation for client appreciation events, open houses, and other events. Attend quarterly client appreciation events and engage with guests.
- Social Media: Create content, manage team and personal accounts on multiple platforms, increase followers, engage with other partner accounts, optimize effectiveness of team social media marketing
- Marketing: Create property brochures, email marketing blasts, postcard and magazine advertisements, and assist with other real estate-related marketing.
REQUIREMENTS
- At least 1-2 years of experience in real estate administration or support role.
- Tech Savvy and Proficiency in Google Suite, Canva, Zipforms, Bright MLS, and MailChimp applications.
- Social Media Savvy with Instagram, Facebook, and LinkedIn. Strong creative vision and experience in developing innovative social media content with focus on brand strategy and content production
- Exceptional communication, organization, and time management skills.
- Ability to work independently with minimal supervision and deliver results
- Commitment to work evenings and weekends from time to time, given the demand of the real estate industry (flex time available during the week in return)
- Flexible and adaptable to changing priorities and deadlines.
- Keen attention to detail and a commitment to delivering high-quality work consistently.
