Location: Burlington, CT (with occasional travel to satellite offices)

We are dedicated to providing high-quality care to our clients and are looking for a highly organized and proactive Mental Health Office Assistant to support the practice’s day-to-day operations, assist with client services, and contribute to the smooth functioning of our fast-paced, compassionate environment.

Position Overview:
As the Mental Health Office Assistant, you will play a crucial role in supporting administrative and clinical staff. This position is ideal for someone who is detail-oriented, enjoys multitasking, and is eager to contribute to a positive, client-centered atmosphere. The role will primarily be in-person at our Burlington location, with occasional travel to satellite offices for various support tasks.

Key Responsibilities:

Client & Office Support:

  • Respond to phone and email inquiries, ensuring timely and professional communication with clients and staff.
  • Assist in enrolling new clients, scheduling appointments, and maintaining up-to-date client records within the EHR system.
  • Help ensure compliance with HIPAA and other healthcare privacy standards.
  • Provide general administrative support to therapists, including managing client communications, reschedules, and appointment adjustments.

Billing & Insurance Assistance:

  • Assist with insurance verification and ensure clients’ coverage is confirmed before services are provided.
  • Support billing tasks, including coordinating with the billing team to address any claim denials or insurance inquiries.
  • Help maintain accurate records for billing and insurance claims, ensuring timely and accurate processing.

Compliance & Documentation Support:

  • Support practice compliance with healthcare regulations, including HIPAA, and help keep client records in line with required standards.
  • Stay informed on basic healthcare laws and support efforts to ensure policies and procedures are regularly updated.

General Administrative Tasks:

  • Assist with scheduling meetings and coordinating office supplies.
  • Provide support with general office tasks as needed, including organizing documents and maintaining files.
  • Help troubleshoot administrative issues to ensure the office runs smoothly.

Marketing & Community Outreach Assistance:

  • Help coordinate marketing efforts and community outreach to attract new clients and build awareness for the practice.
  • Represent the practice at events as needed, building relationships within the local community.

Key Requirements:

Experience:

  • At least 1-2 years of office or administrative experience, ideally in healthcare or mental health settings.
  • Basic understanding of insurance processes, including client eligibility verification and claims.
  • Familiarity with EHR systems or similar software is a plus.

Skills & Qualifications:

  • Excellent communication skills with a customer-service focus.
  • Strong organizational and time management skills, with the ability to manage multiple tasks.
  • Proficiency in office software (Microsoft Office Suite, Google Workspace).
  • Knowledge of HIPAA compliance and maintaining confidentiality.
