Essential Functions

  • Prepares departmental reports by collecting, analyzing, and summarizing data and trends.
  • Assist with developing, implementing, and administering annual department budgets, and initiating corrective actions and significant variances.
  • Provide tools and ensure metric standards are well within established goals and objectives.
  • Routinely evaluate processes for improvements and efficiencies
  • Supervise and appraise the performance of direct reports on an ongoing basis, provide training and resources to ensure direct reports continue to develop skills and knowledge of job-related functions, and ensure the same is done for staff reporting to the direct reports.
  • Provide tools for Team Leads to sustain, develop, enforce, and report department standards and metrics; recommend actions for improvement.
  • Maintains in-depth knowledge of Medicare, Medicaid, and commercial insurance and managed care plans to ensure compliance with payor regulations, and billing compliance with Federal and State laws.
  • Understands and stays abreast of payor requirements and changes within the industry.
  • Attends required meetings and actively participates in committees and workgroups as requested.
  • Develops, implements, and administers department policies and procedures in a consistent and timely manner to improve the quality and quantity of work processed.
  • Conduct regular meetings with the team, to help ensure the implementation of plans, programs, and projects strictly adhere to prescribed deadlines and schedules.
  • Operational Oversight and Efficiency

Surgery Scheduling Oversight : Optimize surgery scheduling to ensure efficient resource allocation and minimal delays. Collaborate with clinical and administrative teams to streamline processes and improve patient flow. Analyze data to meet KPIs, including surgery turnaround times, utilization rates, and patient satisfaction. Ensure compliance with healthcare regulations and payors.

  • Procedure Scheduling Oversee non-surgical procedure scheduling to ensure effective coordination of patient care. Manage resource allocation for efficiency and minimal delays. Review and improve workflows for accuracy and speed. Ensure tracking and reporting on performance for continuous improvement.
  • Contact Center Management : Oversee contact center operational leaders, with a focus of ensuring timely and professional handling of patient inquiries and appointment scheduling. Implement strategies to enhance

  • performance, focusing on patient satisfaction and operational efficiency. Ensure performance metrics, including call volume, wait times, and issue resolution.
  • Document and Data Management : Oversee the organization’s document management processes, ensuring compliance with HIPAA and other regulatory standards. Optimize workflows with EHR systems for efficient document storage, retrieval, and sharing. Maintain protocols for the accuracy, security, and confidentiality of patient records. Collaborate with IT / HER system teams to ensure the effectiveness of document management systems.
  • Strategic Leadership and Collaboration
  • Partner with the executive team to align operational initiatives with the organization's strategic goals. Collaborate with departments such as clinical, operations, finance, HR, and IT to drive continuous improvement across operational functions. Contribute to annual budget development, ensuring resources are aligned with organizational priorities. Regularly assess performance and implement improvements to enhance efficiency, cost savings, and patient care

    EDUCATION

  • Bachelor’s degree in Healthcare Administration, Business Administration, or a related field; Master’s degree preferred.
  • EXPERIENCE

  • A minimum of five years of experience in a healthcare environment
  • At least three to five years of progressive leadership experience in healthcare operations or management. Experience in a multi-specialty healthcare environment is preferred.
  • KNOWLEDGE

  • Knowledge of process improvement philosophy, models, and processes within a healthcare organization.
  • Knowledge of HOPCOs operational and clinical workflows
  • SKILLS

  • Skills in exercising initiative, judgment, problem-solving and decision making daily.
  • Skill in developing and maintaining effective relationships with staff, management, and the public.
  • Skill in organizing workflow to achieve department goals and objectives.
  • Skill in training, supervising, and mentoring staff.
  • Proven ability to manage and optimize complex operational functions within a healthcare setting.
  • Exceptional leadership, communication, and interpersonal skills, with the ability to influence and drive results across various teams.
  • Strategic thinker with the ability to balance short-term needs with long-term goals.
  • Expertise in managing cross-functional teams and leading change initiatives.
  • Proficient in data analysis, reporting, and use of relevant software systems (e.g., EHR, scheduling platforms, CRM systems).
  • ABILITIES

  • Ability to work effectively work with providers, management, and staff.
  • Ability to mentor and train staff in the clinic environment.
  • Ability to communicate verbally and in writing to various levels of staff.
  • Ability to develop health education programs and materials.
  • Ability to work collaboratively with all members of the health care team.
  • Ability to analyze and respond to data.
  • ENVIRONMENTAL WORKING CONDITIONS

  • Normal office environment.

  • Frequent contact with variety of people.
  • PHYSICAL / MENTAL DEMANDS

  • Requires sitting and standing associated with a normal office environment.
  • Some bending and stretching are required.
  • Manual dexterity using a calculator and computer keyboard.
  • Standing, sitting, walking, bending, stooping, twisting.
  • Occasional stress from dealing with multiple tasks and tense patients.
  • Requires full range of motion, manual dexterity, eye-hand coordination.
