Director of Admissions and Advancement
Reports to: Co-Heads of School
Salary: $60,000 FTE (Prorated for the 2024-2025 school year as contract ends June 30, 2025)
Contract type: 12 months, Full time
The Director of Admissions and Advancement reports to the Head of School and manages the operations of the Admission program to achieve the school’s enrollment goals and support the school’s mission.
The DAA has the following responsibilities:
Participate in all facets and phases of the application and enrollment process at the Center School:
- Develops and implements an Admission process and calendar, both internally and externally.
- Uses Ravenna/BigSis to facilitate the application process.
- Manages the entire inquiry-to-enrollment process. As a member of the admission committee, reads applications and makes admission decision recommendations.
- Oversees and manages the program of Open Houses, tours, visit days, and all other admissions activities/events.
- Coordinates the staffing of employees, students, and volunteers for admissions activities.
In collaboration with the entire team, develops, executes, and evaluates the vision for recruitment of qualified students for the school:
- Thoughtfully and intentionally develops a process and vision that is responsive to the cultures and needs of diverse applicants and enrolled students.
- Develops an annual admissions plan that fosters a culture of collaboration and data-informed decision-making.
- Cultivates relationships within the community-at-large.
- Identifies trends in independent school demographics and collaborates with colleagues and external consultants to create long and short-term recruitment strategies.
- Develops Admissions and Enrollment criteria and goals for approval by the Co-Heads of School.
- Develops written materials and other media that support admission.
- Assists in the preparation of the admissions budget and operates the department with budgetary guidelines, including the budgeting and expenditures for marketing material and advertisements.
- Maintains admissions and enrollment statistics and provides status and achievement reports to administrators and/or board members on a periodic basis.
Exercises a working knowledge of the strategic relationship between the roles of Admission, Communications, and Development at the Center School as part of the Advancement Team:
- Establishes an intentional, formalized development plan that is consistent with the mission, vision, and values of the Center School.
- Develops and executes implementation of all fundraising initiatives and programs including, but not limited to, Annual Fund, capital campaigns, grant writing, and planned giving.
- Works with HOS in identifying and building relations with potential donors and prospects for major gifts.
- Engages the school community and greater Pioneer Valley community through social media and face-to-face networking.
- Maintains constituency lists, files and giving records
- Keeps records of all real-time interactions with potential donors and gifts to school
- Manages donor database
- Prepares and distributes solicitation material and sends reminders to donors who pledged contributions
- Attends regular meetings with key school leaders, including the Board of Directors
Additional Responsibilities:
- Covers front office when needed.
- Participates in life of the school by attending events.
- Other duties as assigned by Co-Heads of School.
Minimum Requirements:
- Prior admission experience as associate or assistant director
- Prior experience in fundraising, development, or independent school advancement
- Knowledge of and/or past experience in a school setting, independent school familiar
- Marketing experience and social media use in workplace setting highly desired
- Proficient technology use, especially with Center School platforms: Google Suite, Ravenna/BigSis, MailerLite, Squarespace
- Ability to learn new technology
- Ability to work evenings/weekends as needed in the execution of admission events and responsibilities
