Position Overview:

The Ceramic and Glass Industry Foundation (CGIF), a division of The American Ceramic Society (ACerS), is seeking a detail-oriented and highly organized Program Assistant to support the administration, communications, and fundraising efforts of our educational outreach programs. This role is ideal for someone who enjoys handling administrative tasks, managing communications, and coordinating logistics for events and programs that promote materials science education.

This position provides a unique opportunity to contribute to CGIF’s mission to attract, inspire, and support the next generation of ceramic and glass professionals. The Program Assistant will play a vital role in grant management, outreach coordination, fundraising support, and stakeholder communication.

Responsibilities:

  • Internal Grant Management: Manage the reception and processing of incoming grant applications requesting CGIF’s support for materials science education and outreach. Coordinate with the Board of Trustees for the approval of these grants and oversee the distribution of materials and funds. Track and gather feedback and results from grant beneficiaries and coordinate the organization and processing of student travel grants.
  • Communications: Draft and manage written communications for CGIF, including emails, newsletters, website content, blog posts, and social media updates. Design and distribute marketing and promotional materials, like brochures, newsletters, and reports. Ensure timely updates and maintenance of website content as needed.
  • Support Functions: Assist with the coordination and execution of program activities. Support CGIF fundraising efforts by conducting research, processing donations, producing gift receipts, compiling mailing lists, and assist in the preparation of appeals.
  • Adaptability and Collaboration: We are a small team and wear a lot of hats. The ideal candidate will embrace a role where the tasks can vary weekly and be welcoming of collaboration with both members of our team and outside contributors.

Qualifications:

  • A degree, preferably in business, marketing, communications, or a related field, or related professional experience.
  • 1-2 years of relevant experience, preferably in administration, communications, event coordination, or fundraising support.
  • Highly organized with attention to detail, able to manage multiple projects and deadlines.
  • Ability to work independently in a remote/hybrid environment while managing priorities effectively.
  • Demonstrated writing and editing skills, with the ability to tailor messages for different audiences (e.g., emails, newsletters, press releases, social media, and website content).
  • Proficiency in the Microsoft Office suite, basic design skills, and experience with design tools like Canva.
  • Effective communication and interpersonal skills, with the ability to collaborate with team members, program participants, and external partners.

Location and Travel:

This is a hybrid position based in Central Ohio, requiring some in person work at the ACerS headquarters and warehouse space in Westerville, OH. The exact schedule will be determined based on organizational needs. Occasional travel is required (approximately 10-15% travel) to support CGIF’s programs, events, and outreach efforts.

Salary and Benefits:

Starting salary is $40,000, based on experience.
