What you'll do:
- Order Processing:
- Manage and process drop ship orders from customers, ensuring all details are accurate, including product availability, pricing, and shipping information.
- Monitor order progress, from the initial order placement to the final delivery, ensuring timely fulfillment and resolution of any issues.
- Ensure accurate invoice generation and reconciliation between vendors and customers.
- Coordinate with vendors to confirm product availability, order status, and expected shipping times.
- Customer Service:
- Provide exceptional customer service by responding promptly to inquiries regarding order status, product availability, shipping timelines, and pricing.
- Handle any customer complaints or issues related to drop ship orders, including delays, shipping discrepancies, or product issues.
- Proactively communicate with customers about order progress, delays, or issues, ensuring a positive experience.
- Cost and Price Management:
- Ensure accurate pricing for all drop ship orders by working with vendors and internal teams to align costs and margins.
- Monitor and manage cost fluctuations with suppliers, ensuring that prices are competitive while maintaining profitability.
- Review and adjust pricing as needed to reflect market changes, supplier terms, and promotional activities.
- System Testing and Performance Analysis:
- Assist in testing and evaluating new systems, processes, and technologies designed to improve drop ship order processing efficiency.
- Analyze performance metrics such as order fulfillment time, vendor reliability, and customer satisfaction to identify areas for improvement.
- Collaborate with IT, E-commerce, and other internal teams to address system issues, propose improvements, and implement changes.
- Fast-Paced, Detail-Oriented Execution:
- Work effectively in a high-volume, fast-paced environment while maintaining a high level of attention to detail in order processing, customer communication, and pricing management.
- Prioritize tasks and manage multiple orders simultaneously, ensuring that all are processed within established timelines and to the highest standards.
- Continuously evaluate and streamline processes to ensure efficiency and accuracy in drop ship order handling.
- Vendor and Supplier Management:
- Build and maintain strong relationships with vendors to ensure reliable product availability and timely deliveries.
- Collaborate with suppliers to resolve any issues related to shipping delays, product quality, or inventory discrepancies.
- Track supplier performance and provide feedback to improve service levels and meet customer expectations.
- Reporting and Documentation:
- Maintain accurate records of orders, customer interactions, and vendor communications.
- Prepare regular reports on key performance indicators (KPIs) such as order accuracy, delivery times, customer satisfaction, and supplier performance.
- Provide insights and recommendations to management based on data analysis to optimize drop ship operations.
- Strong customer service and communication skills, with a focus on resolving issues and providing a positive experience.
- High level of attention to detail and accuracy in order processing, pricing, and documentation.
- Ability to manage multiple tasks simultaneously in a fast-paced environment.
- Proficiency in Microsoft Office Suite, particularly Excel, and familiarity with order management or ERP systems.
- Strong analytical skills, with the ability to assess data and provide insights for process improvements.
- Knowledge of the drop ship model and supply chain processes is highly preferred.
- Ability to work collaboratively with cross-functional teams, including IT, operations, and vendors.
- Strong problem-solving skills to address and resolve issues quickly and efficiently.
- High school diploma or equivalent; associate or bachelor’s degree in business, supply chain management, or a related field preferred.
- 2-3 years of experience in customer service, order processing, or supply chain management, preferably in a drop ship or e-commerce environment.
- Experience with system testing or process analysis is a plus.
