Our client, an investment company and global asset manager headquartered in downtown Chicago, is seeking a Contracts Administrator to join their team in a long-term temporary capacity. This role will support their Legal and Private Wealth Management teams as they embark on a major contract repapering project, expected to last 12 months. This individual will be responsible for managing the end-to-end process of repapering approximately 1,400 contracts, ensuring timely execution and signature via DocuSign. They will maintain a comprehensive tracking spreadsheet to monitor progress and compliance. Additionally, as workload permits, this role will support the client service team with ad hoc requests.

The ideal candidate is a detail-oriented self-starter with strong tracking, prioritization, and communication skills to support a small, hands-on team. They should thrive in a data heavy environment with conflicting deadlines. This role requires a candidate with a high degree of professionalism and discretion.

Please note this is a long-term, temporary contract projected to last 12 months. The hourly rate is $31-$36 / hour and requires four days per week in-office.

Responsibilities :

  • Provides contract management support, including obtaining internal signatures.
  • Handle meeting coordination and set up, reserve and set up conference rooms for meetings, arrange for refreshments and clear rooms after meetings. This may include client meetings, compliance meetings, and the like.
  • Prepare, revise, and assemble materials / presentation books for meetings that are scheduled both in the office and out : preparing PowerPoint presentations, printing and binding presentation books and other materials as necessary.
  • Routinely manages and coordinates departmental projects (e.g., records destruction, archiving, inventory maintenance) from implementation through completion, as well as assisting with ad-hoc projects.

Requirements :

  • 5 years’ Executive Assistance experience, including at least 3 years within a legal department, law firm, or the investment industry.
  • Ability to work in-office four days per week.
  • High degree of professionalism and discretion.
  • Advanced proficiency with the Microsoft Suite.
  • Demonstrated ability to prioritize multiple assignments with conflicting deadlines.
  • Strong organizational skills and attention to detail.
  • Strong interpersonal, communication, and customer service skills.
  • Salary : $31 - $36
